About The Position

The Patient Coordinator at our holistic health center plays a vital role in ensuring a seamless and welcoming experience for patients. This position combines administrative excellence, patient engagement, and sales-oriented communication to support the clinic's operations and mission, focusing on front desk and sales support.

Requirements

  • 2+ years in a medical, wellness, or customer-facing administrative role preferred.
  • Experience in a holistic health or naturopathic setting is a plus.
  • Excellent communication skills.
  • Strong organizational ability and attention to detail.
  • Proficient in software tools like MS Office, Trello, Google Drive, and CRM systems.
  • Positive, proactive, and solution-oriented traits.
  • Ability to multi-task with a calm and professional demeanor.
  • Strong execution and implementation skills with follow-through on completing tasks and projects.
  • Sales aptitude, comfortable discussing pricing, quoting services, and upselling or cross-selling services.

Nice To Haves

  • Bilingual: Fluency in Spanish is a plus!

Responsibilities

  • Greet and support patients, answer phones, check emails, and schedule appointments.
  • Collect payments, create invoices and superbills.
  • Review invoices and reconcile financial transactions.
  • Prepare and follow up on lab testing orders.
  • Explain testing and review fees with patients.
  • Manage and oversee inventory, including supplements, lab kits, acupuncture and medical supplies.
  • Prompt communication with leads.
  • Schedule and onboard new patients.
  • Present treatment packages and programs using effective sales and communication techniques.
  • Assist with patient inquiries and resolve any patient concerns.
  • Educate patients on services, packages, and wellness programs to drive engagement and retention.
  • Drive sales by upselling services and treatment packages to new and existing patients.
  • Proactively follow up with unscheduled leads and patients who have fallen out of care to encourage future appointments.
  • Support providers and staff beyond regular duties.
