The Patient Care Secretary is a skilled secretarial person whose job is to support the work of the Team Manager and who is generally responsible for accomplishing all patient care related clerical procedures. The role involves screening telephone calls for the Team Manager, facilitating communication between patients/families and other team members, and taking and keeping the daily schedule for all team members. The Patient Care Secretary attends weekly team meetings, prepares agendas, and follows through on assignments given by the Team Manager. Additionally, they establish, maintain, and close patient charts in an orderly fashion, which includes mailing and following up on required documentation such as Plans-Of-Care and Medical Information Request forms. They also provide back-up documentation to the Billing Department, order D.M.E., and maintain records of dates ordered and picked up. The role requires entering patient care and volunteer data into Vx and event tracking, communicating with staff and outside agencies as directed by the Team Manager, and maintaining a list of part-time staff when applicable. The Patient Care Secretary will also order supplies and documentation forms used by the team, handle routine correspondence, sort and process patient care mail, maintain A.D.T., and check census daily for accuracy. They will cover for other patient care secretaries during absences and handle other tasks as assigned by the Team Manager.
