About The Position

Patient Care Coordinator – Client Experience & Outreach (Warm Leads Only) We are seeking a Patient Care Coordinator to manage and convert warm leads into booked appointments while delivering a high-touch, concierge-level client experience. This role is ideal for someone who is personable, organized, and confident in guiding clients toward the right treatments.

Requirements

  • Previous experience in med spa, aesthetics, wellness, or sales preferred
  • Strong communication and relationship-building skills
  • Comfortable speaking on the phone and handling objections
  • Organized, detail-oriented, and proactive
  • Experience with CRM systems and scheduling platforms is a plus
  • Passion for beauty, wellness, and client care
  • Warm, friendly, and professional demeanor
  • Results-driven with strong follow-through
  • Ability to balance client care with sales conversion
  • High emotional intelligence and listening skills

Responsibilities

  • Follow up with warm leads (inquiries, event attendees, referrals, website submissions) via phone, text, and email
  • Educate clients on services, packages, and membership options
  • Build rapport and provide a consultative, non-pushy experience
  • Convert inquiries into booked appointments and consultations
  • Manage scheduling and ensure a seamless booking experience
  • Maintain accurate records in CRM and track lead status
  • Follow up with no-shows, cancellations, and inactive leads
  • Collaborate with providers and the front desk team to optimize client flow
