We are actively hiring a Patient Care & Front Desk Coordinator at the Century City site location. This site is part of our Greater Los Angeles oncology research network and was formerly operated as Valkyrie Clinical Trials. We are proud to welcome the Valkyrie team into the Flourish Research network. The Patient Care & Front Desk Coordinator is an essential member of our team. They ensure smooth administrative operations while providing an impeccable patient experience in every interaction. This individual is responsible for creating a welcoming, positive, and supportive environment for patients and study participants. They are the gatekeepers, setting the example of what patients can expect during their care journey at Flourish Research.

Requirements

  • Minimum education requirement of a High School Diploma or an Associate's Degree
  • 1–3+ years of administrative support experience, preferably in a medical or clinical setting
  • Ability to manage high-volume calls, scheduling, and follow-up communications
  • Strong attention to detail with the ability to maintain accurate records and documentation
  • Excellent interpersonal, customer service, and communication skills (written and oral)
  • Ability to collaborate with internal teams and external stakeholders
  • Demonstrates professionalism, integrity, and accountability
  • Strong decision-making skills and ability to handle sensitive situations with discretion
  • Ability to prioritize, multitask, and adapt in a fast-paced, changing environment
  • Proficiency with Microsoft Office (Office365) and general computer systems
  • Ability to work both independently and as part of a team
  • Maintains confidentiality and aligns with company policies and core values

Nice To Haves

  • Medical office administrative experience is preferred
  • Medical assisting experience is a plus
  • Experience in a high-volume, patient-facing healthcare environment strongly preferred

Responsibilities

  • Support site leadership and members of the research team by working on various projects as requested and assigned
  • Manage front desk operations, including greeting, check-in, and coordination of patients, study participants, and visitors
  • Answer phones and manage clinic appointment scheduling, including routing calls and handling high-volume communication with patients, staff, and vendors
  • Coordinate, schedule, and follow up on patient appointments while monitoring provider schedules and clinic calendars
  • Prepare, maintain, and verify patient charts, registration, and documentation for accuracy and completeness
  • Guide patients through intake processes, ensuring all required documentation is collected and complete
  • Serve as a liaison between patients, physicians, study coordinators, and internal teams to ensure seamless communication
  • Assist with clinic flow to support timely patient throughput and resolve scheduling or operational issues
  • Perform documentation and data entry within EMR and internal systems
  • Ensure exam rooms are ready, stocked, and organized throughout the day
  • Request and manage medical records and related documentation
  • Communicate effectively with internal teams, imaging centers, billing, administration, and external partners
  • Support monitor visit logistics, including scheduling, check-ins, and room assignments
  • Order, track, and manage site supplies, snacks, and general inventory
  • Sort and distribute mail, manage faxes, and maintain organized clinical and regulatory files
  • Manage invoices, receipts, and patient reimbursements
  • Schedule maintenance and assist with basic procurement needs
  • Assist in event planning and coordination
  • Perform occasional local pickups or deliveries as needed
  • Ensure compliance with HIPAA, GCP, IRB, and company policies and procedures
  • Maintain patient confidentiality and uphold professionalism in all interactions
  • Assist with training new staff as needed
  • Other clerical and administrative duties as assigned
