About The Position

The Patient Access Specialist performs a variety of administrative duties and serves as the first point of contact for patients entering the clinic system. This position is responsible for ensuring a smooth and efficient intake, registration, and scheduling process while maintaining accurate patient records and insurance verification. The Patient Access Specialist supports patient access to care by providing exceptional customer service, coordinating scheduling needs, verifying insurance coverage, and maintaining compliance with healthcare privacy regulations. This role works closely with providers, nursing staff, and administrative personnel to ensure accurate patient information and efficient clinic operations.

Requirements

  • High school diploma or equivalent.
  • Three (3) or more years of customer service experience required.
  • Physical, sensory, and cognitive abilities sufficient to perform essential job functions.
  • Strong interpersonal, written, and verbal communication skills.
  • Proficiency in electronic health record (EHR) systems and other healthcare software applications.
  • Knowledge of insurance verification processes and medical billing procedures.
  • Understanding of patient privacy laws and regulations, including HIPAA compliance requirements.
  • Strong attention to detail and organizational skills.
  • Ability to work effectively in a fast-past-paced, high-stress environment while maintaining professionalism and accuracy

  • Experience in healthcare registration, scheduling, insurance verification, or patient access functions preferred.

Responsibilities

  • Greet and assist patients during the registration process by collecting and verifying personal and insurance information.
  • Schedule patient appointments, procedures, and tests while coordinating physician availability and patient preferences.
  • Verify and document patient insurance coverage to support accurate billing and reimbursement processes.
  • Maintain and update patient medical records while ensuring compliance with privacy Patient Access Specialist Job Description 1 regulations such as HIPAA.
  • Provide patients with information regarding financial responsibilities, including co-pays, deductibles, and available payment options.
  • Enter patient information accurately into the electronic health record (EHR) system and other administrative databases.
  • Provide excellent customer service by addressing patient inquiries, concerns, and complaints and guiding patients regarding clinic policies and procedures.
  • Collaborate with healthcare providers, nursing staff, and other administrative personnel to improve the efficiency of patient access processes.
  • Stay current with healthcare regulations and compliance standards, particularly those related to patient registration and information security.
  • Adhere to departmental policies and procedures.
  • Perform other duties as assigned.
