Position Summary The Patient Access Scheduler is responsible for ensuring patients are scheduled accurately and efficiently for services, using provided tools and guidelines. This role requires excellent customer service skills and close collaboration with clinical staff and other departments to meet patient needs. The Scheduler plays a key role in building trust and rapport with patients and potential clients.

Requirements

  • High school diploma or GED.
  • Typing proficiency.
  • Bilingual in Spanish required.
  • 1 year of experience in a medical setting or 3 years in customer service/reception.
  • Strong verbal, written, and active listening skills.
  • Ability to handle 50+ calls per day in a fast-paced environment.
  • Professional, personable, and committed to patient care.
  • Familiarity with office equipment and basic billing/insurance principles.
  • Flexibility to work alternative shifts, weekends, and travel to multiple locations.
  • Commitment to confidentiality and HIPAA compliance.

Responsibilities

  • Answer incoming calls promptly and professionally.
  • Manage and redirect calls for optimal outcomes.
  • Maintain provider schedules in alignment with scheduling guidelines.
  • Verify and update patient demographics and insurance information.
  • Provide accurate information to callers per clinic policies.
  • Relay patient messages to clinical staff as needed.
  • Make outbound calls to reschedule missed appointments and engage new patients.
  • Collaborate with departments to increase patient count and productivity.
  • Meet assigned call metrics and complete reports.
  • Participate in meetings, projects, and other tasks as assigned.
