About The Position

The Patient Access Representative at Charles Drew Health Centers serves as the first point of contact for patients, providing exceptional customer service and managing registration and intake processes. Requirements

  • High School Diploma or GED equivalent required.
  • 1-3 years of customer service experience required.
  • Previous registration and intake experience in a primary health care setting strongly preferred.
  • Strong communication skills.
  • Strong customer service skills.
  • Strong organizational skills.
  • Knowledge in NextGen software.
  • Ability to handle multiple tasks independently.
  • Knowledge of medical terminology is preferred.

Responsibilities

  • Greet and direct patients and visitors in a prompt and courteous manner.
  • Inform patients of financial responsibility, what to bring, and payment methods.
  • Collect and record co-payments from patients, completing accurate documentation of transactions and reconciling daily deposits.
  • Schedule medical appointments for patients using practice management software in accordance with health center standards.
  • Maintain thorough knowledge of healthcare services and programs to answer questions and direct calls appropriately.
  • Conduct accurate fee assessments to determine payor source and eligibility for private insurance, Medicaid, Medicare, or special grants.
  • Administer sliding fee scale for self-pay patients following standard processes and procedures.
  • Provide convenient appointment times and locations, managing patient expectations with service guidelines.
  • Meet and maintain daily, weekly, and monthly performance goals for creating and rescheduling appointments.
  • Maintain confidentiality and exercise sensitivity in dealing with sexuality and sensitive client issues.
  • Educate clients about services and fees.
  • Utilize various information technology systems, including NextGen, for client appointment processing.
  • Advise clients of follow-up needs per alert notes in NextGen and EMR.
  • Refer patients to internal providers for additional services (Dental, Behavioral Health, Nutrition, and WIC).
  • Audit daily scheduled appointments for accuracy.
  • Communicate effectively with patients from diverse backgrounds.
  • Reconcile and batch out daily deposits.
