About The Position

The position involves management and operations responsibilities within a medical office setting. The manager is tasked with ensuring that front office staff are scheduled appropriately and that areas of improvement are identified and addressed with corrective actions. Effective communication with physicians and the Operations Manager is essential, as well as maintaining efficient daily office operations.

Requirements

  • 3 to 5 years of related office management experience
  • Experience in accounts receivable and collections
  • Experience in front office operations in a medical office

Responsibilities

  • Assures that front office staff are scheduled appropriately
  • Identifies and addresses areas of improvement with corrective actions
  • Ensures timely and effective communication with physicians and Operations Manager
  • Maintains efficient and effective daily office operations
  • Completes and ensures accuracy of patient pre-visit processes
  • Greets and checks out patients in a prompt, courteous, and helpful manner
  • Resolves patient questions concerning appointments, charges, billing, etc. in a timely manner
  • Collects patient payments at the time of visit
  • Balances payments and forwards to Revenue Cycle Manager
  • Establishes guarantor, insurance eligibility and coverage, and method of payment for each patient
  • Obtains insurance benefits and relates them to patients prior to physician contact
  • Refers patients with outstanding debts to billing/collections prior to physician contact
  • Enters demographics appropriately into the computer
  • Ensures records are accurate and fully completed
  • Schedules patient appointments accurately as outlined in the established protocol
  • Schedules follow-up visits and procedures accurately and in a timely manner
  • Answers incoming phone calls promptly and professionally within the front office
  • Activates and relieves the answering service of calls as necessary
  • Screens calls to physicians properly
  • Fills each physician’s schedule in the most efficient manner by reviewing each schedule daily
  • Ensures all employees are aware of established policies and procedures and that all duties of the front-office staff are performed accordingly
  • Orders office supplies
  • Maintains and develops policies and procedures as necessary and makes them available to the appropriate personnel
