About The Position

Christ the King Parish (ctk.cc) and School (ctkweb.org) is seeking a Pastoral Assistant. The Pastoral Assistant represents and supports the Pastor in all parish matters and Archdiocesan priorities with responsibilities for administrative oversight, volunteer coordinating, planning, project management, generation and retention of highly sensitive records and documents, and all matters necessary to ensure well-managed parish services. The Pastoral Assistant, as the face of the parish office, is a primary promoter of the mission of Christ the King Parish and School. Christ the King Parish is a vibrant, multicultural parish of about 1,300 households located in the Portland metro area. The community is committed to being a Eucharistic parish - one that finds its source and center in Jesus Christ truly present in the Blessed Sacrament. He is the source of unity, animating and directing the parish's efforts at divine worship, prayer, evangelization, education and the works of mercy. The parish is part of the Amazing Parish movement (amazingparish.org), cultivating a culture of unceasing prayer, healthy teamwork and active discipleship with the staff and throughout the parish. The parish runs a PreK-8 School of about 210 students utilizing the philosophy of Catholic Liberal Education. The school is a premier member of the Institute for Catholic Liberal Education (catholicliberaleducation.org).

Responsibilities

  • Actively fosters the parish's Pastoral Vision & Playbook throughout the culture of the parish, building and maintaining strong relationships with parishioners.
  • Assists the Pastor with day-to-day activities including managing his calendar, preparation for meetings and events, assisting with correspondence and advising him on unforeseen requirements.
  • Makes administrative decisions and may speak on behalf of the Pastor in his absence.
  • Assists the Pastor in welcoming and integrating persons into the parish community.
  • Answers the phone, screens calls for Pastor and parish staff, responds to emails, and greets visitors to the parish office, assisting them with their needs or referring them to the appropriate staff member or parish organization.
  • Collaborates with the school office to ensure timely and efficient communication throughout the parish and school.
  • Manages the master parish calendar, database, room scheduling and facility rentals.
  • Administers the parish website, especially the home page, prepares the weekly parish bulletin, posts on the social media platforms.
  • Has proficiency in use of a variety of office equipment and digital media including Google Suite, Flocknote, Canva, social media platforms.
  • Administers the key & fob system for the campus.
  • Manages the safe environment protocols of the Archdiocese and serves as the 'Creating a Safe Environment' (C.A.S.E.) training administrator for the parish.
  • Assures that outgoing mail is taken to the mailbox daily; receives and distributes incoming mail. Handles all bulk mailings that are needed.
  • Oversees the operation and good functioning of AV equipment in the church and parish center.
  • Provides support to the Financial Manager to ensure proper financial controls.
  • Maintains inventory and orders office and janitorial supplies and other supplies as needed; oversees ordering of supplies for the church, parish center and volunteer groups.
  • Maintains strict level of confidentiality.
  • Maintains records of high sensitivity and confidentiality.
  • Serves as the primary contact for volunteer opportunities and coordinates volunteers.
  • Performs other work related duties as assigned.
