About The Position

The PA (Pastoral Assistant) Stewardship position serves as a key liaison for parishioner engagement across our four-church parish family and school. This position combines parishioner outreach and engagement with administrative support for strategic coordination of stewardship initiatives, volunteer programs, and safe environment compliance. The role requires strong interpersonal skills, organizational excellence, and a passion for fostering active participation in parish life. This is a full-time, in-office position generally from Monday to Friday, 9 AM to 5 PM, with some weekends/evenings to manage and run meetings and/or parish events. (note- 40 hours a week) POSITION PURPOSE Develops and implements stewardship and volunteer engagement programs that inspire parishioners to actively participate in parish life through their time, talent, and treasure. Provides database administrative support around registrations, donations, volunteer program coordination (ParishStaq) to ensure smooth parish operations and serves as a welcoming presence for all who interact with the parish family.

Requirements

  • Demonstrated bilingual proficiency in English and Spanish, with strong spoken and written communication skills required.
  • 7+ years of administrative experience required.
  • Proficient in MS Office tools, particularly Word, Excel, Teams, and database management.
  • Excellent communication skills by phone, email, and in person.
  • Strong organizational skills with ability to prioritize and multi-task effectively.
  • Detail-oriented with a high degree of accuracy, especially with confidential information.
  • Ability to exercise independent judgment and problem-solving.
  • Ability to work independently as well as collaboratively in a team.
  • Demonstrated ability to work with diverse, multicultural communities.

Responsibilities

  • Plans and implements for the Annual Stewardship Drive.
  • Leads annual appeals and special collections (e.g., Rice Bowl, Peter’s Pence).
  • Coordinates data entry related to Giving, Stewardship of Treasure, and ChMS updates.
  • Produces reporting and analytics for stewardship performance and parishioner engagement.
  • Recruits, trains, schedules, and manage volunteers across all parish ministries.
  • Oversees volunteer leads and ministry coordinators.
  • Tracks and reports volunteer hours and participation.
  • Coordinates ministry fairs and parish life events.
  • Recognizes and celebrates volunteers.
  • Serves as the Parish Family Safe Environment Coordinator.
  • Tracks certifications, processes background checks, and ensures full compliance.
  • Maintains confidential VIRTUS records and submits annual reports to the Archdiocese.
  • Manage new parishioner registrations and welcome events.
  • Creates and maintains the welcome program at church entrances.
  • Plans and execute evangelization programs and outreach events.
  • Provides bilingual (Spanish) support for communications when needed.
  • Plans and executes communications related to Time, Talent, and Treasure.
  • Manages stewardship-related content on websites, bulletins, and social media.
  • Executes social media campaigns aligned with stewardship messaging.
  • Respond promptly to parishioner inquiries (phone, email, in-person).
  • Maintains parishioner participation data, volunteer data, and giving data in ParishStaq.
  • Ensures accuracy of parishioner records, volunteer assignments, and sacramental notes (as applicable to stewardship).
  • Coordinates with the Office Manager on communication planning and execution.
