About The Position

Under the general supervision and direction of the City Recorder's Office, this position performs customer service and coordinates passport acceptance services. The role involves handling a high volume of phone calls related to City services, managing incoming and outgoing mail, and coordinating all aspects of passport acceptance. This includes taking passport photos, responding to questions about passport processing, delivering applications to the post office, and tracking applications. The agent is responsible for staying informed of changes to the passport acceptance process and sharing updates with other passport agents. Financial duties include receiving payments, processing receipts for services, reconciling daily receipts, and preparing deposits for the Treasurer's Office. Additionally, the position provides administrative support and performs other related duties as assigned.

Requirements

  • High school diploma or GED.
  • One year of customer service, office support or office administrative assistant experience.
  • Valid Utah Driver's License.
  • Must pass U.S. State Department regulations and be certified as a passport agent within two weeks of hire.
  • Knowledge of correct use of the English language.
  • Knowledge of proper grammar, spelling, and punctuation.
  • Knowledge of general use of a personal computer, software, 10-key calculator, phone, copy machine, internet, and document imaging scanner.
  • Knowledge of modern office practices and procedures.
  • Skill with following verbal and written procedures and instructions.
  • Skill with maintaining a congenial working relationship with public, staff, and other agencies.
  • Skill with working well under high pressure situations.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
  • Ability to maintain a positive, professional, and empathetic attitude toward customers at all times.
  • Ability to stay calm under pressure.
  • Ability to apply tact and judgement to deal with and influence people.
  • Ability to maintain confidentiality of documents and information.

Responsibilities

  • Answer and direct a high volume of phone calls, related to City services.

  • Coordinate taking passport photos, acceptance services, including responding to questions about passport processing, delivering passport applications to the post office, and tracking passport applications.
  • Stay informed of changes to the passport acceptance process and shares updates with other passport agents.
  • Receive payments and process receipts for services.
  • Reconciles receipts each day and prepares deposit for the Treasurer's Office.
  • Performs administrative support duties as assigned.
  • Perform other related duties and responsibilities as assigned.
