About The Position

The Parts Representative is responsible for receiving, processing and tracking sales orders to customers and other departments. Place, process, track and receive purchase orders with the factories and other source of supply. Maintain files and digital records. Periodic to frequent on-call/emergency parts representative tasks. Variable blend of work done on-site in TAC offices, TAC third party warehouse, remote work from home, depending on needs of the company.

Requirements

  • High school diploma, 1 year of general work experience.
  • Proficiency with Microsoft Office products including Outlook, Word, PowerPoint and Excel.
  • Reliable transportation is a must.
  • Must have excellent punctuality and attendance.
  • Communication Excellence: Strong verbal and written communication; able to engage effectively with managers, staff, and external partners while ensuring information is clear and accurate.

Responsibilities

  • Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures and complying with legal regulations.
  • Create and process customer and stock orders.
  • Provides customer support to the customers through emails and phone calls
  • Ensure daily parts orders are placed directly to factories and vendors as needed
  • Monitor vendor invoices and tracking for incoming vendor orders, and coding invoices
  • Communicate between departments and factories on parts issues as needed
  • Process credit card orders and will calls
  • Process direct shipments orders, Invoice customers, and mail invoices to customers as needed
  • Review daily pick tickets to make sure they contain freight, tracking and are posted Maintain delivery tracker in order to ensure deliveries are posted to ensure invoices are created
  • Utilize and maintain reports to track incoming shipments, back orders, and customs clearance.
  • Create pre-receivers as needed and investigate issues as they come with the receiving process
  • Receiving goods and request invoices from vendors when documents are missing during the receiving process
  • Assistance in cycle count process. Investigate shortages or overages both on vendor and customer orders. Create adjustments as needed for returns and to correct missing parts in warehouse
  • Create and process RGAs and credits. Assist warehouse manager on claims related to parts invoices
  • Assist in audits and in inter department inquiries
  • Scanning and filing daily paperwork
  • Support and coordinate with the warehouse team to ensure orders are shipped accurately and on time, meeting customer requirements.
