About The Position

NMC Cat is looking for a Parts Office Assistant responsible for performing a variety of in-store customer service duties related to the receiving, sale, invoicing and delivery of parts for NMC customers, technicians, service manager, and parts department.

Responsibilities

• Assists customers via phone or walk-in by locating needed parts and offering technical advice, as appropriate.
• Orders parts by generating purchase orders and initiating credit applications on behalf of customer.
• Accurately enters data into database system for billing and inventory purposes.
• Assists shop technicians and sales staff with ordering and researching parts/service issues with machines and attachments and locating/tracking parts.
• Investigates all back orders with all vendors.
• Coordinates status updates on parts.
• Charges out parts to customers and adds part to appropriate work order.
• Locates and purchases parts from outside vendors for non-CAT equipment.
• Reviews, codes and submits outside vendor invoices to Accounting.
• Tracks and follows-up on all parts purchase orders.
• Files claims with appropriate vendors on all stock shipment shortages.
• Files, scans, and codes information into system.
• Receives daily inventory bin count report counting bins, updating database with findings and researching and resolving discrepancies.
• Investigates and manages customer complaints.
• Obtains adequate information and properly documents all information received.
• Processes returns including failed parts for warranty.
• Prints and completes checklist, pulls parts, enters data and returns to manufacturer.
• Resolves any discrepancies.
• Reconciles credits received from return with work order/invoice once received.
