About The Position

The position involves managing parts requests from inception to distribution, ensuring accurate communication with vendors regarding parts and service ETA’s. The role requires checking and verifying parts received, inspecting for damage, and negotiating repair times with technicians. Responsibilities also include posting parts invoices, scanning necessary documents, and managing returns and credits with vendors. The individual will work closely with body technicians and mechanics to ensure all parts needs are met and will maintain organized parts office and shelves.

Requirements

  • High School Diploma preferred.
  • Driver’s license required.
  • 1+ years of related employment experience in a collision repair facility.
  • Basic knowledge of computer skills including data entry.
  • Basic knowledge of Microsoft Office (Word, Excel, PowerPoint).

Responsibilities

  • Accurately complete parts requests from inception to distribution.
  • Communicate with vendors on parts and service ETA’s.
  • Check and verify parts received, mirror match.
  • Inspect parts for damage and negotiate with tech on repair times to panels.
  • Post parts invoice using complete Shop procedures the day order arrives.
  • Scan all invoices and necessary documents into complete shop the day the order arrives.
  • Return parts and collect credits from vendor.
  • Responsible for all vehicle sublet items (wheels, glass, bumpers, etc.).
  • Review necessary supplement parts with tech.
  • Communicate with estimator any vehicle parts or sublet needs.
  • Communicate with body technicians and mechanics on any parts needs.
  • Responsible for repair order documentation.
  • Assure parts are tagged and stored properly to prevent damage.
  • Maintain cleanliness and organization of parts office and shelves.
  • Negotiate with vendors for discounts on damaged parts.
  • Ensure correct discounts are received from vendors.
  • Ensure all parts ordered have a purchase order in estimating system.
  • Post all invoices received daily by end of day.
  • Keep accurate records for timely returns and follow up with vendors for credits.
  • Inform management and estimators of discrepancies in quantity and quality of parts received.
  • Use Parts Trader and OPS Trax for parts management.
  • File invoices daily.
