About The Position

The Parts Coordinator is responsible for managing all break‑fix parts operations, including researching inventory availability, coordinating orders, processing returns, and maintaining accurate documentation. This role serves as a liaison between internal teams and external vendors, ensuring timely procurement, accurate tracking, and smooth workflow across service and operations teams. The position requires strong organization, communication, and problem‑solving skills.

  • High school diploma required; some college or equivalent work experience preferred.

Responsibilities

  • Coordinate information and workflows between service management systems and internal resource planning systems.
  • Manage service boards, update records, and ensure accurate tracking of parts‑related activities.
  • Handle ordering and receiving of parts, including entering purchase orders and sales orders.
  • Process part substitutions, warranty claims, and billable repair requests.
  • Research vendor availability, pricing, and inventory to support internal teams and customer needs.
  • Tailor and update diagnostic descriptions provided by technicians.
  • Communicate with vendors and internal teams to obtain return authorizations and shipping labels.
  • Process returns, defective items, and credit requests.
  • Maintain tracking spreadsheets and departmental documentation.
  • Generate reports for leadership, accounting, and operational teams.
  • Identify and resolve inventory discrepancies or process errors.
  • Support administrative tasks, maintain communication channels, and ensure follow‑through across departments.
  • Build and maintain strong working relationships with vendors, customers, and internal stakeholders.
  • Perform other duties as assigned.
