About The Position

Under the supervision of the Parts Purchasing Agent the Parts Clerk is accountable for the efficient management, organization, and oversight of parts inventory, including ordering, stock level maintenance, and ensuring timely availability for equipment maintenance and repair tasks. This role demands a deep understanding of inventory control, procurement practices, and vendor management, while also working closely with internal teams to facilitate smooth operations. The Parts Clerk will contribute to minimizing operational disruptions by maintaining optimal stock levels and ensuring seamless inventory flow.

Requirements

  • High school diploma or equivalent required.
  • Previous experience in inventory management or purchasing is preferred.
  • Forklift operation experience a plus.
  • Strong computer and office technology proficiency, including Microsoft Office products.
  • Strong attention to safety and the ability to work in a team environment.
  • Familiarity with wide variety of vehicle and machinery parts and components to assist maintenance team members accurately.
  • Ability to follow instructions and communicate effectively with customers and team members.
  • Skilled in procurement, inventory management and negotiating with vendors.
  • Strong organizational and multitasking skills with attention to detail.

Responsibilities

  • Assist mechanics and drivers at the parts counter, ensuring they have the necessary supplies.
  • Respond promptly to internal requests regarding parts availability and timelines.
  • Collaborate with team members to support ongoing repairs and maintenance tasks.
  • Maintain optimal levels of stock, ensuring items are available when needed, including ordering and tracking.
  • Cross-reference and update inventory across warehouse locations, make corrections as needed, and report findings.
  • Conduct periodic physical stock checks and comprehensive inventory audits to identify discrepancies, rectify errors, and adjust stock levels as necessary.
  • Collaborate with maintenance teams to review and update stocked parts.
  • Maintain precise and up-to-date inventory records for all parts, supplies, and equipment, ensuring that all data entries are accurate and reflect real-time stock levels.
  • Research, compare, and obtain best pricing and service for parts, tools, and other materials.
  • Purchase inventory, repair parts for equipment, vehicles, and plant maintenance.
  • Purchase and replace broken tools, maintaining accurate tracking of inventory and transactions as governed by the appropriate collective bargaining agreement.
  • Record receipt details in the Enterprise Resource Planning (ERP) system to accurately reflect the physical products received.
  • Regularly review and address unapproved invoices in the spend management system, Medius.
  • Receive and unload delivered parts and equipment, to include operating a forklift.
  • Inspect incoming parts for damage and verify quantities and specifications against purchase orders to ensure accuracy.
  • Ensure accurate tracking of received freight, including core returns, credits, and packing slips.
  • Process the return of incorrect, damaged, core return, or warranty parts to suppliers, ensuring proper credit is received.
  • Fill in for Parts Runner as needed.
  • Keep the parts room clean and organized by conducting regular cleaning and organizational projects.
  • Maintain proper storage and labeling of parts and shelving.
  • Assist with inventory counting and reports.
  • Produce reports as required by the Parts Purchasing Agent.
  • Engrave tools and equipment with company initials for identification.
  • Valid driver’s license with a clean and insurable driving record.
  • Ensure adherence to safety procedures, including wearing appropriate personal protective equipment and maintaining safety standards.
