The Parts and Maintenance Manager is responsible for overseeing the ordering and inventory management of parts and supplies necessary for maintenance operations. This role includes constant follow-up on Parts Requisition forms from Technicians and Shift Supervisors, timely ordering of parts and supplies, and daily updates to the Maintenance Manager and Shift Supervisors regarding delivery dates. The manager must ensure accurate record-keeping and compliance with regulations regarding hazardous materials. Additionally, the manager is responsible for training the Parts Clerk and maintaining an organized and labeled inventory of all parts and supplies.

  • Conduct constant follow-up on Parts Requisition forms from Technicians and Shift Supervisors.
  • Order parts and supplies in a timely manner.
  • Update Maintenance Manager and Shift Supervisors on delivery dates daily.
  • Send daily reports of in-stock supplies and order statuses to the Maintenance Manager.
  • Check parts catalogs for proper part identification.
  • Contact vendors to obtain price bids and prepare parts requisitions.
  • Ensure all new vendors are approved by the Director of Maintenance.
  • Receive shipments from vendors and check vendor packing slips/invoices for accuracy.
  • Confer with suppliers regarding late deliveries and maintain appropriate records.
  • Directly issue parts received to the Shift Supervisors.
  • Charge parts to open work orders and/or place parts in proper locations within the parts room.
  • Enter receipts and distribution of parts/supplies into RTA to update automated inventory records.
  • Conduct daily cycle counts and submit to the Maintenance Manager.
  • Enter levels of parts shelved into RTA; reorder levels determined by the Director of Maintenance.
  • Conduct daily checks on tool inventory and sign tools out.
  • Keep accurate inventory and order replacement tools and equipment when approved.
  • Issue replacement parts to mechanics and assist in the choice of parts.
  • Issue PM (preventative maintenance) parts as scheduled by Shift Supervisor.
  • Compile with all regulations regarding the handling of hazardous materials.
  • Maintain the MSDS book ensuring it is up to date by reviewing weekly.
  • Order all lubricants and fuel, keeping an accurate inventory daily.
  • Follow department policies and regulatory guidelines.
  • Maintain and order supplies for the ITC, monitoring supplies on hand and replenishing weekly.
  • Train and ensure the Parts Clerk can fulfill job requirements.
  • Clean assigned work areas daily.
  • Organize and label all parts and supplies.
  • Perform other related work as needed.
  • High School Diploma or equivalent (GED).
  • One year of responsible work experience in a maintenance, transportation, or related environment as a parts clerk, or equivalent combination of education and experience.
  • Computer experience is a plus.
  • ASE P2 certification is a plus.
