POSITION SUMMARY Reporting to the Manager Unmatched Potential and Match Activities and the Manager of Big Futures, the Program Activities Assistant is a part-time position that supports the tracking, planning, and execution of fun, engaging, and meaningful activities for Bigs and Littles (Matches). This role will work to enhance the match experience, foster connection, and promote long-term engagement in the BBBS program. ABOUT YOU We are seeking a highly organized, detail-oriented professional who enjoys heavy administrative work and supporting the backend structure of events. This individual manages time and tasks effectively, works independently while following established systems, and proactively solves problems with strong reasoning skills. Experience with administrative systems such as CRMs, Excel, task management platforms, and scheduling tools is preferred, along with a background in event operations, system building, and general administrative support. The ideal candidate is also comfortable working with children and has experience in environments such as babysitting, schools, daycare, or youth programs. Strong customer service skills and a professional, dependable approach are essential to ensure smooth operations and positive client experiences.

Responsibilities

  • Communicate and schedule with Bigs and Guardians regarding events, ticket opportunities, and resources.
  • Serving as a point of contact regarding RSVP confirmation/cancellation, questions/concerns, and other match activity/resource needs
  • Communicate with Matches: engage with Bigs and Littles via the Band app, Acuity, Messaging, and email to promote upcoming events, share updates, and answer questions
  • Event creations and management enter and manage all match activity events in Salesforce, including logistics, attendance tracking, and follow-up
  • Maintain public resource hub: regularly update and organize the BBBS public Notion page to ensure matches have access to current activities, community resources, and event information.
  • Navigate and post on the public BBBSKC Resources, Deals & Discounts, Big Futures, and Match Activities Notions
  • Coordinate donation opportunities: create and manage donation opportunities when ticket or in-kind donations are received, ensuring equitable and timely distribution to matches
  • Support event execution: assist with setup, registration, on-site support, and breakdown for matched and unmatched events as needed
  • Create, share, and use forms for RSVP and data collection purposes
  • Inventory, track, disburse and manage all ticketing functions
  • Work closely with Unmatched Potential, Big Futures, and other departments to align activity planning with agency goals and match needs
  • Cultivate relationships with volunteer mentors (“Bigs”) by providing scheduling support, event details, and access to exclusive resources and opportunities.
  • Oversee inventory management and organization of program supplies and promotional materials to ensure seamless operations.
  • Design, distribute, and manage digital forms for RSVP tracking and data collection, improving efficiency and accuracy in event planning processes.
  • Accurately enter, update, and maintain participant, mentor, and program data in Matchforce (Salesforce-based CRM for BBBSKC Big Futures, Match Activities, and Unmatched Potential), ensuring data integrity, timely reporting, and effective program tracking.
