About The Position

Responsible for supporting accurate and timely payroll processing while maintaining efficient day-to-day office operations. This role ensures payroll compliance with federal, state, and local regulations and provides administrative support to management and staff. The position requires strong attention to detail, confidentiality, organization, and the ability to manage multiple priorities.

Requirements

  • High school diploma or equivalent required; Associate’s degree preferred.
  • 2+ years payroll, administrative, or office management experience.
  • Experience with payroll systems (ADP, Paycom, Paylocity, etc.).
  • Strong understanding of timekeeping processes.
  • Proficiency in Microsoft Office (Excel required).
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar).

Responsibilities

  • Coordinate and assist with onboarding and drug testing with new hires.
  • Ensure I9 is complete and accurate before or on date of hire.
  • Send payroll manager payroll changes including new hires, terminations, pay rate changes, deductions, etc.
  • Review exceptions such as missed punches, overtime, PTO usage, and leave balances.
  • Coordinate with supervisor to resolve time discrepancies prior to payroll submission.
  • Review and audit time and attendance records for accuracy and completeness.
  • Respond to employee payroll inquiries in a professional and timely manner.
  • Maintain payroll files in compliance with record retention requirements.
  • Serve as first point of contact for visitors, vendors, and incoming calls.
  • Provide clerical support, including drafting correspondence, preparing reports, and managing office supplies.
  • Coordinate mail distribution and shipping.
  • Maintain organized filing systems (digital and physical).
