About The Position

We are seeking a dynamic and versatile Part-Time Operations Assistant to join our team. This role is perfect for a proactive individual who can efficiently manage a variety of tasks across multiple disciplines. The ideal candidate will be responsible for maintaining and managing office files, handling billing and accounting, as well as being proficient in marketing, recruiting, tech savvy and computer software, scheduling, prospecting, and project management. In this role, you will optimize the operational systems and processes of the company, maximize efficiency and profitability while remaining compliant with all legal and regulatory requirements. The ideal candidate has an analytical mind, a deep understanding of business and financial principles, and a proven track record in operations.

Requirements

  • Bachelor’s degree in Business or a related field
  • Previous experience as an Operations Manager is preferred in Real Estate
  • REAL ESTATE Experience a MUST
  • Deep understanding of organizational effectiveness and operations management
  • Ability to analyze financial data and create budgets and financial forecasts
  • Excellent verbal and written communication
  • Knowledge of sound business practices and financial principles
  • Proven experience in operations management or related fields.
  • Strong organizational and multitasking abilities.
  • Proficiency in accounting software and office management tools.
  • Experience in marketing and recruitment strategies.
  • Skills in video editing software and podcasting platforms.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Responsibilities

  • Oversee all operational aspects of the business
  • Create strategic and operational goals and objectives
  • Implement systems, processes, and procedures to increase efficiency and profitability
  • Oversee warehouse operations and inventory control
  • Ensure the organization is compliant with all applicable legal and regulatory requirements
  • Examine financial data and budgets and create financial forecasts
  • Set and monitor key performance indicators
  • Maintain and manage office files, ensuring all documents are organized and easily accessible.
  • Oversee day-to-day office operations to ensure efficiency and productivity.
  • Handle all billing processes, ensuring accuracy and timeliness.
  • Assist in managing accounts, including invoicing and financial reporting.
  • Develop and implement marketing strategies to enhance brand visibility and engagement.
  • Assist in recruiting efforts by screening candidates and coordinating interviews.
  • Onboarding candidates, new hires and vendors
  • Troubleshoot various office systems including phones, internet usage, title software and Microsoft Outlook and other applications.
  • Schedule and manage video and marketing projects, coordinating with guests and internal teams.
  • Identify and engage potential clients or partners.
  • Lead and manage projects from inception to completion, ensuring all objectives are met on time and within budget.
