About the position

The Operations and Maintenance Division of the Public Works Department is seeking a highly enthusiastic, motivated, and collaborative Part Time Management Assistant I or II. The ideal candidate will provide an exceptional level of customer service and analytical support to the Facility's Contract Unit. This position will work closely with our contract specialist and other outside vendors. This is a part-time position usually averaging 30 hours per week. A minimum number of hours is not guaranteed.

Responsibilities

  • Tack meeting minutes, editing and proofreading forms, processing and tracking of billing, and general tracking of spreadsheets.
  • Perform a variety of technical, programmatic, administrative, and routine staff and analytical duties requiring the application of specific program knowledge and administrative skills in support of a City department, division, program, or function.
  • Conduct research; prepare, revise, and implement various administrative policies, procedures, rules, and regulations.
  • Conduct administrative and/or management studies relating to the activities and operation of the assigned department, office, or program area.
  • Provide staff assistance to management staff; participate on and provide staff support to a variety of committees and boards.
  • Participate in planning, coordinating, implementing, promoting, and overseeing assigned programs, projects, and initiatives.
  • Provide assistance in resolving operational and administration problems; identify problem areas and issues.
  • Perform a range of duties involved in researching, negotiating, and monitoring assigned contracts and agreements.
  • Serve as primary contact and liaison for assigned functions and programs with other City departments and staff, the general public, and outside agencies.
  • Participate in the budget development process and budget monitoring activities.
  • Maintain and monitor assigned accounts; determine appropriate expense allocations.
  • Establish and administer departmental records management processes.
  • May plan, direct, coordinate, and review assigned activities and operations of the department.
  • May participate in the selection, training, and evaluation of assigned administrative support personnel.

Requirements

  • Management Assistant I: One (1) year of research, administrative support, or analytical experience, preferably in public administration.
  • Management Assistant II: Three (3) years of research, administrative support, or analytical experience, preferably in public administration.
  • Completion of the twelfth grade and college level coursework or specialized training in public administration, business administration, or a related field.
  • A Bachelor's degree is highly desirable.

Nice-to-haves

  • Experience working with Adobe and Microsoft Word, Excel, and PowerPoint.
  • Candidates with CGI experience are highly desirable.

Benefits
