About The Position

The Part Time Executive Assistant for Institutional Advancement at Aquinas College provides essential support to the Vice President for Institutional Advancement. This role involves managing daily activities, coordinating special projects, and ensuring efficient office operations to further the goals of the department and the college's mission. The position is currently part-time with potential for future full-time employment.

Requirements

  • Bachelor's degree or equivalent experience preferred.
  • 3+ years of experience in administrative support roles, ideally with senior leadership.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ability to provide high-level customer service in a collaborative environment.
  • Excellent written and verbal communication skills, including drafting and editing high-level correspondence.
  • Proficiency in Google Suite, Microsoft Office Suite, Project Management and CRM systems (preferably Basecamp, Blackbaud NXT or similar).
  • Experience with event coordination and project management, including logistical planning and execution.
  • Experience in fundraising, including familiarity with donor relations and gift processing preferred.
  • Strong interpersonal skills, with professionalism and discretion when handling confidential matters.

Responsibilities

  • Collaborates with team members to create and implement effective processes for the Institutional Advancement team.
  • Oversees the Vice President's scheduling, travel logistics, expense management, correspondence, and CRM data entry.
  • Tracks key meetings with high-priority prospects and prepares detailed prospect profiles.
  • Develops and distributes weekly task lists and thank-you call lists for timely follow-up on donor relations.
  • Organizes and supports meetings, presentations, and reports for committees connected to the Vice President's work.
  • Provides project management and event support, coordinating logistics for successful execution of events and projects.
  • Handles general email and phone inquiries, managing event registration correspondence.
  • Processes donations and pledges, generating acknowledgment letters and annual giving summaries.
  • Maintains and updates constituent records in the database, ensuring data accuracy and integrity.
  • Oversees special projects as assigned, adapting to emerging priorities and tasks.
