About The Position

The Part-Time Coach Education Project Coordinator plays a vital role in supporting the organization’s broader coach education initiative by performing, handling, and executing all logistical and administrative tasks for Coach Fundamentals & Play Facilitator Workshops. These tasks include coordination of pre- and post-workshop efforts, stakeholder communication, contracts, invoices, and expense reports to ensure seamless workshop execution. By fulfilling these responsibilities, this position ensures that coaches receive high-quality training and resources, helping them enhance their skills and better serve their players. The expected range for the base salary for this position is $18- $22. Schedule is Monday through Friday. Aproximately 28 hours a week.

Requirements

  • Minimum of 3 years of experience in an administrative assistant, project coordinator, or similar role.
  • Proficiency in Google Workspace (Docs, Sheets, Drive) and Microsoft Office Suite.
  • Exceptional organizational and multitasking skills, with the ability to prioritize and meet deadlines.
  • Strong attention to detail and commitment to accuracy.
  • Ability to document workflows, processes, and procedures clearly and effectively.
  • Excellent problem-solving and critical-thinking skills to handle logistical challenges.
  • Strong written and verbal communication skills for engaging with participants, stakeholders, and team members.
  • Positive, proactive approach to teamwork and collaboration.

Nice To Haves

  • Experience in event coordination, program administration, or educational settings is a plus.

Responsibilities

  • Coordinating pre-and post-workshop logistics, documentation, and stakeholder communication.
  • Create and maintain Section-specific Google Folders with essential documents (e.g., marketing materials, tracking sheets, templates).
  • Collaborate with Section representatives to secure workshop dates and post-registration details on the National calendar.
  • Monitor registrations, update tracking documents, and notify relevant stakeholders.
  • Select and coordinate Coach Developers (CDs) for workshops, including travel and accommodations.
  • Organize logistics, including equipment, lunch, snacks, name tags, and check-in desk needs.
  • Send participants access instructions to the Coach Learning Center (CLC) and respond to email inquiries.
  • Draft and distribute "Know Before You Go" communication to participants.
  • Prepare and share participant rosters with CDs.
  • Maintain CD-specific Google Folders with updated templates, policies, and expense reports.
  • Archive workshop rosters and photos and send "Thank You" emails to participants.
  • Update participant records in the CLC, verify Safe Play Approval, and issue Records of Completion.
  • Track, process, and archive CD invoices and expense reports.
  • Develop, update, and maintain clear documentation of workflows for workshop planning and execution.
  • Identify inefficiencies in workflows and collaborate with the team to implement improvements.
  • Support contract management, ensuring accuracy and timely processing.
  • Assist with tracking and managing invoices and expense reports while maintaining organized records.
