The Shuttle Coordinator's main goal is to manage a team of employees by providing constant feedback and communicating the company's goals.
Organize and develop the operating plan for each day/night based on available staffing.
Establish specific ramp assignments for each Shuttle and ensure operational coverage on each ramp.
Delegates and dispatches the duties and responsibilities of all Shuttles during the everchanging operation as needed.
Perform general administrative responsibilities including preparation of reports using various software packages, compilation of information from various sources, and handling small scale projects.
Perform general office duties including word processing, data entry, auditing documents, answering phones, coordinating meetings, and other duties as assigned.
Deal with confidential material on a regular basis.
Provide advanced office support knowledge and skills while communicating with other departments.
Stay in constant contact with their manager for operational support and problem solving.
Handle customer complaints, employee relations issues and operational problem-solving resolution.
Monitor and hold accountable Shuttle Driver responsibilities and work activity via 2-way radio, face to face conversations and Crew Van Visibility (CVV) monitoring.
Utilize various UPS computer systems to effectively coordinate the Inbound/Outbound operation.
Create the Inbound Tail Sheet incorporating various assignments and safety tips.
Create the Outbound Tail Sheet and monitor operational departures.
Monitor available meals and meet specific time deadlines on catering reports.
Track and file pre-trips and post-trips daily, including logging shuttle mileage into a database.
Make preparations for cold weather to ensure shuttles are properly equipped.
Utilize UPS iGate system and UPS University for driver training.
Oversee vehicle maintenance and communicate with Ground Support Equipment Department.
Email out the morning reports detailing relevant information about the day/night.
Reinforce safety awareness and conduct safety meetings throughout the year.
Listen and respond to driver concerns and adapt to an ever-changing environment.
