About the position

The Part-Time Administrative Assistant position at the City of Westerville involves providing essential administrative support to the Department of Public Service. This role is responsible for coordinating various administrative procedures, assisting in budget preparation, and maintaining departmental records. The position offers flexible scheduling of up to 25 hours per week, primarily between Monday and Friday, from 7 AM to 4 PM.

Responsibilities

  • Coordinate administrative procedures in support of various programs and functions.
  • Research and compile data and background materials for special projects or regulations.
  • Assist in preparing comprehensive reports and compiling the departmental budget.
  • Review work upon completion for conformance to department requirements.
  • Serve as receptionist to the department head, screen calls, visitors, and refer inquiries as appropriate.
  • Respond to phone complaints and requests for information regarding department policies and regulations.
  • Implement and assist in developing procedures and policies related to departmental functions.
  • Serve as secretary to special meetings, including serving notice on attendees and transcription of minutes.
  • Prepare appropriate legal notices for newspaper publication.
  • Initiate and maintain a variety of files and records.
  • Compose routine correspondence; maintain manuals and update resource materials; make appointments and arrange travel, conferences, and meetings.
  • Initiate purchase orders and monitor all expenditures for the department.
  • Participate and assist in preparing payroll for all department employees.
  • Prepare and submit budget requirements for the clerical staff.
  • Perform other related tasks as assigned.

Requirements

  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of business English and arithmetic.
  • Knowledge of secretarial practices and procedures.
  • Knowledge of word processing, desktop publishing, and other software packages.
  • Ability to make decisions in accordance with established policies and procedures.
  • Ability to maintain administrative, fiscal, and general records and interpret record information to the public.
  • Ability to abide by confidentiality requirements.
  • Ability to establish and maintain effective working relationships with other employees, officials, and the public.
  • Ability to communicate effectively orally and in writing.
