About The Position

The Administrative Assistant serves as a key support role for both the Sayre and Weatherford campuses, providing clerical, operational, and student-facing services. This position facilitates communication, supports admissions and student services, and ensures the smooth operation of campus logistics. The ideal candidate will be organized, detail-oriented, and committed to fostering a welcoming and efficient campus environment. This is a part time position of 20+ hours per week.

Requirements

  • High school diploma or equivalent; associate’s degree preferred.
  • Prior experience in administrative or clerical roles, preferably in an educational setting.
  • Strong communication and organizational skills.
  • Proficiency in Microsoft Office and data management systems.
  • Ability to multitask and work independently.

Responsibilities

  • Answer incoming phone calls for both Sayre and Weatherford campuses.
  • Greet and assist walk-in visitors, students, and staff.
  • Receive and route incoming mail for the campus.
  • Facilitate student ID creation: take photos and submit for printing.
  • Process admissions for new and transfer students.
  • Organize student activities including planning, ordering food, and necessary supplies.
  • Perform general clerical tasks including typing, data entry, and drafting letters and emails.
  • Assist the campus coordinator and registrar with daily operations.
  • Image student records using Etrieve.
  • Maintain inventory and order office supplies.
  • Prepare and submit monthly vehicle mileage reports to the Physical Plant.
  • Manage transportation forms and schedule vehicle maintenance and repairs.
  • Order janitorial supplies as needed.
  • Oversee maintenance and supply needs for copy machines.
  • Schedule repairs for office equipment.
  • Perform monthly AED inspections and test eye-wash stations.
