About The Position

Parts Clerk The Parts Clerk will spend a significant amount of time working in an office environment in support of the Parts Department and the Maintenance Department and will be performing administrative and office duties of a complex and challenging nature. This position is based in Hillburn, NY in supporting the Lower Hudson Transit Link (LHTL) and Transport of Rockland (TOR) contracts. Requirements

  • 1-3 years of experience in a parts/inventory environment.
  • Effective computer, time management and organizational skills.
  • Excellent communication, priority setting, and decision-making skills required.
  • Experience working in a fast-paced, high-pressure environment.
  • Must be flexible, must be able to demonstrate poise, tact, diplomacy and possesses good judgment and discretion.
  • Detail oriented, well organized, and possess effective time management skills.
  • Must be able to work as a member of the team.
  • Ability to interact professionally with internal and external customer on all levels and be able to work well with diverse groups.

Responsibilities

  • Performs administrative duties related to the purchase and delivery of parts, stock, and non-stock items; reviews vendor cost estimates, price lists, and contracts.
  • Takes inventory of parts and equipment and maintains inventory records.
  • Conducts cycle counts, inventories and obsolete parts surveys, as directed.
  • Drives company vehicle to pick up incoming stock or to pick up and deliver parts to units in other buildings or locations.
  • Contacts suppliers/vendors to obtain the best prices.
  • Initiates complex requisitions with explicit ordering specifications.
  • Maintains parts catalogs, order parts, track, and monitor purchase orders under established purchasing guidelines.
  • Handles accounts receivables and adheres to budget.
  • Creates and processes purchase orders and enters work orders into the maintenance software system.
  • Contacts manufacturers, vendors, and suppliers as needed regarding service, delivery, and new products.
  • Receives incoming orders and stores material.
  • Maintains warranty records and return defective items.
  • Organizes and maintains files, a variety of lists, control records, logs, forms, data sheets, requisitions, purchase orders and other related documents.
  • Perform other duties as required.
