About The Position

The Parish Receptionist at Good Shepherd Catholic Parish serves as the first point of contact for visitors and callers, providing essential administrative support to the parish office. This role requires a warm, professional demeanor and a strong commitment to the mission of the Roman Catholic Church, ensuring that all interactions reflect the parish's values and teachings. The receptionist is responsible for managing communications, scheduling events, and maintaining parish records, all while fostering a welcoming environment for the community.

Requirements

  • Bilingual in English and Spanish; knowledge of Vietnamese is a plus.
  • Intermediate/advanced knowledge of Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook).
  • Above average verbal and written communication skills.
  • Ability to maintain confidentiality and demonstrate excellent people skills.
  • Professional demeanor with efficient organizational skills.
  • Typing skills of over 60 words per minute.
  • Knowledge of the organizational structure and practices of the Roman Catholic Church.
  • Experience in handling difficult people and situations with sensitivity.

Nice To Haves

  • Experience with Parish Data Systems Software.
  • Knowledge of counseling and spiritual direction principles.
  • Intellectual ability to learn other church business software.

Responsibilities

  • Welcomes and directs visitors to the parish office.
  • Operates the main PBX telephone console and directs incoming calls to appropriate office extensions.
  • Facilitates clear communications and information to callers.
  • Enters data from parish registration forms and verifies information.
  • Inputs Sunday collection information into Parish Data System (PDS).
  • Gathers submissions and information to prepare the weekly bulletin and communicates early submission deadlines.
  • Schedules masses/events on Streamspot and baptisms on the church calendar.
  • Helps create funeral schedules for sacristans and processes payments for church services.
  • Adds names to weekly Prayers of the Faithful and translates them into Spanish.
  • Oversees and records all sacramental entries to the parish records and produces sacramental certificates.
  • Performs clerical/secretarial duties for supervisor and staff, including taking minutes at staff meetings.
  • Orders and purchases office supplies for all personnel and coordinates hospitality for office visitors.
  • Sorts and processes parish mail, answers emails, and performs word processing and typing tasks.
  • Maintains file organization and administers baptism data forms.
  • Acts as a liaison for requests related to prayers of the faithful, sick list, communion to the sick, and bereavement.

Benefits

  • Full-time employment with hourly pay rate of $18.00/hr. - $23.00/hr.
