St. David's Episcopal Church and School in Ashburn, VA is seeking a dedicated Parish Administrator to join our team on a part-time basis, working approximately 20 hours per week. The Parish Administrator will play a crucial role in supporting the church's operations and ensuring smooth administrative functions. This position involves a variety of general and receptionist duties, including answering phones, greeting visitors and parishioners, and managing daily correspondence. The successful candidate will be responsible for overseeing diocesan correspondence, preparing necessary forms, and maintaining an inventory of office supplies, ordering them as needed on a weekly basis. Additionally, the Parish Administrator will handle bulk mailings for significant church events such as Christmas, Easter, and stewardship campaigns, as well as provide support for the annual Parochial Report and other assigned duties. In terms of administrative functions, the Parish Administrator will prepare office correspondence, publish and maintain the online facility calendar, and coordinate its usage. A key responsibility will be to prepare the Sunday weekly service bulletin using Rite Planning software. The role also includes managing accounts receivable by maintaining and printing Realm reports monthly, coordinating with counters for weekly offerings, and entering data into the Realm database. The Parish Administrator will also be responsible for making bank deposits, recording pledges, and processing quarterly contribution statements. Communication is a vital aspect of this role, as the Parish Administrator will support the church's communication efforts by copying Sunday service readings and upcoming events for publication. They will work closely with the communication specialist to ensure timely announcements and newsletters. Furthermore, the Parish Administrator will provide support to the vestry by updating virtual binders for the annual retreat, overseeing mailings for the stewardship campaign, and preparing the annual report for the parish meeting. They will also communicate with the vestry regarding information requests and prepare packets for monthly meetings. The role requires effective management of the Realm database, including maintaining records, data entry for ministry lists, and managing the parishioner directory. The Parish Administrator will also maintain a newcomers spreadsheet and correspondence, providing administrative support to the rector as time allows. This position is ideal for someone who enjoys collaborating with various church ministries, maintaining a professional presence, and working with volunteers of all ages. Exceptional writing, editing, and proofreading skills are essential, along with familiarity with Microsoft Word; experience with ACS/Realm is a plus.
