About The Position

The Paramedic Administrative Supervisor serves as a key leadership role within Maricopa Ambulance, combining paramedic clinical expertise with comprehensive administrative, operational, and supervisory responsibilities. This position supports daily EMS and Inter-Facility operations through scheduling, payroll oversight, fleet coordination, documentation compliance, and staff support while acting as a secondary command presence when needed. The role requires strong organizational skills, attention to detail, and the ability to manage sensitive personnel, payroll, and patient care information in a fast-paced environment.

Requirements

  • Current Paramedic certification/licensure (state and/or national as required).
  • Minimum of 1 year experience as a Paramedic in an EMS/ Inter-Facility environment.
  • Strong working knowledge of EMS/IF operations, scheduling, payroll processes, and documentation systems.
  • Valid driver’s license with acceptable driving record.
  • Current BLS, ACLS, and PALS certifications.
  • All Field Paramedic Requirements
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to handle confidential information with discretion.
  • Effective leadership and problem-solving skills.
  • Proficiency with Microsoft Office and EMS-related software systems.
  • Ability to function calmly and effectively in high-pressure or crisis situations.
  • Ability to meet the physical requirements of a Paramedic role if field response is required.
  • Flexible schedule, including potential nights, weekends, holidays, and on-call responsibilities.
  • Ability to work in both office and field environments.
  • The ability to reach, push and pull.
  • The ability to sit or stand for long periods of time.
  • The ability to bend, stoop, squat and kneel for long periods of time.
  • The ability to walk up and down stairs without difficulty.
  • The ability to lift and maneuver 150 pounds without difficulty.
  • The ability to lift and maneuver 150 pounds up and down two flights of stairs without difficulty.
  • The ability to walk a distance of one quarter of a mile without difficulty.
  • The ability to complete all job duties during any and all hours of the day and night.

Nice To Haves

  • Prior administrative or supervisory experience in an EMS or healthcare setting.
  • Experience with Zoll Tablet ePCR platforms (e.g., WebPCR), Power BI, scheduling software, and payroll systems.
  • Familiarity with HIPAA, DQA/CQI processes, and EMS billing workflows.
  • Associate’s or Bachelor’s degree in EMS, Healthcare Administration, or a related field.

Responsibilities

  • Maintain visibility on the master staffing schedule, including managing call-ins and fill-ins to ensure adequate operational coverage.
  • Answer administrative phone lines and emails; process, prioritize, and coordinate messages appropriately.
  • Submit and track IT support tickets as needed.
  • Handle crisis emails and respond to administrative communications in a timely and professional manner.
  • Ensure security of company buildings, fleet, and all other company property.
  • Complete daily attendance infractions and audit attendance to ensure compliance with company standards.
  • Receive, address, and resolve field crew questions or concerns related to pay, benefits, scheduling, and other personnel matters.
  • On occasion offers support to payroll with tracking, monitoring, and resolving time card discrepancies.
  • Maintain confidentiality and professionalism when handling sensitive employee information.
  • Monitor and enforce timely and accurate ePCR submissions using Power BI and WebPCR in real time.
  • Ensure compliance with documentation policies, billing requirements, and regulatory standards.
  • Maintain billing and patient care records in compliance with HIPAA regulations and document retention requirements.
  • Mitigate PCR’s placed on operations hold list.
  • Provide guidance to field supervisors and field crew members on CQI & DQA best practices to reduce probability of PCR’s ending up on operations hold list.
  • Serves as a resource and support to field crews, addressing operational and administrative issues as they arise.
  • Assist the Field Supervisor with supervisory duties and act as second-in-command when needed.
  • Promote accountability, professionalism, and adherence to company policies.
  • Perform other duties as assigned to support operational needs.
