In this role, you will support global patent operations for a large enterprise technology company by managing incoming patent office communications, coordinating document workflows, and maintaining accurate IP records. You will work primarily in a heads-down, execution-focused environment with minimal meetings, owning day-to-day operational tasks that ensure patent filings and records are processed accurately and on time. This role offers hands-on exposure to U.S. and international patent procedures (USPTO, EPO, WIPO) and is well-suited for a patent paralegal looking to deepen experience in structured, high-volume IP operations.

Requirements

  • 2–4 years of experience in patent operations, intellectual property administration, or a patent paralegal role.
  • Demonstrated experience working with patent documents and procedures related to USPTO, EPO, and WIPO.
  • At least 1–2 years of experience using Anaqua or a comparable IP management system, including de-docketing events and managing official correspondence.
  • Strong proficiency in Microsoft 365 tools, particularly Word, Excel (intermediate to early-advanced), and PowerPoint.
  • Proven ability to manage multiple tasks and deadlines independently with a high level of accuracy and attention to detail.
  • Strong written and verbal communication skills, with the ability to clearly summarize information and coordinate workflows.
  • Prior hands-on experience processing patent office correspondence, certificates, and related documentation.

Nice To Haves

  • Paralegal certificate or associate degree in paralegal studies.
  • Experience processing both U.S. and foreign patent filings in a high-volume or enterprise environment.
  • Deep familiarity with global patent office workflows, including ISR/202 processing, PCT mail handling, and EP certificate procedures.
  • Prior experience supporting audits, compliance checks, or large-scale IP record validations.
  • Experience working in a structured patent operations or IP support team with defined SLAs and quality metrics.

Responsibilities

  • Download, review, and process incoming ISR and 202 documents from the EPO mailbox on a daily basis.
  • Process PCT hardcopy mail, ensuring timely routing, documentation, and record updates.
  • Handle European Patent (EP) registration certificates, including processing hardcopies, de-docketing related events in the IP management system, and determining appropriate archiving or shredding actions.
  • Verify and download Letters Patent and Registration Certificates and coordinate logistics for offsite storage.
  • Manage incoming signature requests by summarizing documents for signature, routing to appropriate signatories, tracking completion, and ensuring timely follow-up.
  • Support patent award logistics, including tracking, packaging, and shipping of inventor plaques and gear awards.
  • Archive patent documents, prepare certificates for long-term storage, and retrieve documents as needed for audits or validations.
  • Assist with special and ad-hoc projects assigned by the Patent Operations team, including audits, data validation checks, and document retrieval efforts.
  • Maintain accurate, organized, and up-to-date patent records while meeting established SLAs and quality standards.
