About The Position

Full-time Legal Assistant/Paralegal to support the Legal Department of Collin College. Work hours are Monday through Friday, scheduled during the college’s normal business hours, with overtime as needed.

Requirements

  • Bachelor's degree from an accredited institution and a minimum of (4) four years prior experience as legal assistant, paralegal, and/or filing clerk in a law firm or in-house workplace setting is required.
  • Work experience in criminal or immigration matters is not applicable.
  • Prior experience in managing civil litigation files, transactional files, real estate files, e-filing, and experience in responding to subpoenas and Public Information Act (PIA) or FOIA requests is required.
  • Familiarity with U.S. federal and state laws, legal pleadings, and the federal and state court system
  • Familiarity with e-File systems
  • Excellent computer and technology skills and have an advanced understanding of the Microsoft suite of programs including: MS Word, MS Excel, and Outlook, and other software such as PACER, Canva, Adobe Acrobat Reader or Pro.
  • Excellent organization and research skills
  • Excellent communication and written and verbal skills
  • Able to multitask and prioritize in an often high-volume or fast-paced environment
  • Ability to maintain efficiency and close attention to detail is essential in this position
  • Ability to be self-motivated or self-directed, well organized and detail oriented
  • Ability to communicate effectively with external and internal stakeholders

Responsibilities

  • Open and maintain various types of departmental files in an organized manner.
  • Assist in civil litigation management, calendaring deadlines, litigation file maintenance, and recordkeeping.
  • E-File pleadings in federal or state databases as needed.
  • Draft and prepare templates for certain contracts and other standard forms.
  • Assist in preparing policies and agenda items for Board meetings and committee meetings.
  • Conduct research, including legal research and research of e-filings/docket filings.
  • Review documents and draft responses to records and subpoena requests, including Public Information Act (PIA)or FOIA requests as needed.
  • Prepare meeting agendas, letters and other communications for General Counsel.
  • Draft communications to external vendors or groups.
  • Assist in drafting or preparing legal documents as needed.
  • Exhibit high level of professionalism and collaboration.
  • Maintain strict confidentiality as needed.
  • Maintain multiple calendars and keep department staff aware of scheduled events and approaching deadlines.
  • Answer and handle incoming phone calls in a professional manner, including taking messages or recording information for referrals to other departments.
  • Assist with scanning, copying, mailing, filing, archiving, and other administrative tasks as needed.
  • Assist General Counsel and fellow office staff as needed and as requested.
  • Perform other duties as assigned.
