About the position

The Paralegal position at Calhoun County involves providing administrative support to the Public Defender's Office under the direction of the Managing Criminal Investigator. This role requires handling confidential information, managing office processes, and ensuring compliance with legal standards. The paralegal will be responsible for a variety of clerical and administrative tasks, including drafting legal documents, overseeing mail processes, and maintaining electronic filing systems. The position demands strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities

  • Assist with the development of support staff policy and procedures for assigned tasks.
  • Assist with the recruitment, interviewing, and selection process of support staff members.
  • Delegate work to legal assistant staff to ensure office processes are followed and deadlines are met.
  • Provide training and coaching to staff, and handle disciplinary matters as necessary.
  • Oversee the process of incoming/outgoing legal mail and maintain office supplies.
  • Problem solve and communicate effectively with the public, clients, courts, and staff.
  • Draft, transcribe, type, edit, copy, and distribute correspondence and legal documents.
  • Maintain daily organization of a high-volume docket and manage electronic filing systems.
  • Ensure compliance with file retention laws and policies.
  • Review and process court-ready documents prepared by attorneys in a timely manner.
  • Monitor due dates and progress on cases and pleadings, reminding attorneys of approaching deadlines.
  • Schedule and facilitate meetings with support staff regarding new processes and daily tasks.
  • Assist with the development of presentation materials for trials.

Requirements

  • Associate degree in a related field or 5-7 years of experience in administrative support in a legal office.
  • 3-5 years of administrative support experience in a busy office environment, preferably legal.
  • Experience working in a court, law office, or legal environment is strongly preferred.
  • Ability to maintain confidentiality in matters related to attorney-client communications.
  • Proficient in word processing, databases, spreadsheets, and email.
  • Strong communication skills for excellent customer service and accurate information dissemination.
  • Ability to multi-task and handle simultaneous projects with attention to detail.

Nice-to-haves

  • Experience with legal document preparation and court procedures.
  • Familiarity with electronic filing systems and legal research tools.
