The Paralegal, Real Estate Operations is responsible for working with various departments on all real estate related projects and any facility/site improvement projects. This individual will work closely with the appropriate departments on various projects. The Paralegal performs duties in conjunction with contract drafting and review to meet daily requirements and strategic goals of the company. This position reports to and supports the General Counsel.

Requirements

  • Knowledge of all aspects of real estate, a plus.

  • Ability to maintain confidential information
  • 3-5 years paralegal experience
  • Experience as paralegal in a corporate setting preferred.
  • 1 to 3 years of project management experience, preferably in real estate.
  • Experience in establishing and implementing robust process of KPI reporting.
  • Experience with real estate management platforms, a plus.
  • Bachelor’s Degree or equivalent (Preferred)

Responsibilities

  • Prepares/reviews real estate documents, including LOI’s, leases, amendments, estoppels.
  • Ability to work with a real estate database and create reports. Gather pertinent documents, distribute, file and upload into a file management repository and Real Estate database.
  • Assist management with the creation of both short-term and long-term strategic planning for the entire Real Estate portfolio.
  • Manages the flow of information between management, and the internal & external clients, through regular meetings and written communications.
  • Assists in creation and execution of the standard operating procedures manual (SOP’s) for various real estate/facilities related projects. (i.e., new facility request, move management, relocations, and overall transactions)
  • Works closely with management on budgets, various initiatives, and strategies for cost-savings, forecasting and reporting.
  • Creates vendor request in the account payable portal for new Landlords, or Real Estate related vendors, processes special check requests.
  • Works with local jurisdictions to obtain Certificate of Occupancy for new locations.
  • Management, maintenance, repair, and safety of the facilities. Planning, coordination, and strategy development for ensuring the short and long-term improvement of the facilities.
  • Develop a deep understanding of CC’s business and the needs of its operating locations (i.e. branches, hubs, depots, treatment and recycling facilities, railroad sites, etc.).
  • Develop slides and presentations for approval of real estate transactions.
  • Develop and maintain an effective working relationship with CC’s departments and managers to facilitate effective sourcing of real estate.
  • Work with CC’s departments and managers to develop standards, objectives and characteristics for each type of property (e.g. branch, hub, etc.) that are required to ensure each CC property meets or exceeds its business goals.
  • Develop strong relationships with vendors (e.g. landlords, real estate brokerage resources, permitting consultants, etc.) to aid in achievement of real estate goals.
  • Work with the legal department on leases, amendments, renewals, and all other transactional documents.
  • Assist with crafting negotiation strategies and close real estate transactions with optimal terms for CC.
  • Work closely with all members of various functions within CC to ensure the real estate function operates effectively and efficiently.
  • Utilize Costar Real Estate Manager software to streamline operations, track lease data, manage critical dates and property information as well as Legal files for all Real Estate transactions.
  • Monitor and ensure full compliance for property-related activities, including leases, zoning, certificates of occupancy, environmental and any other regulations.
  • Management, maintenance, repair, and safety of the facilities. Planning, coordination, and strategy development for ensuring the short and long-term improvement of the facilities.
  • Partner with lease accounting and finance teams reviewing annual budgets, monthly or quarterly reports. Approve invoices, CAM reconciliations, property taxes, etc. Responsible for database management and third-party lease administration vendor.
  • Work with the EHS team, addressing facility hazards and potential environmental risks associated with both leased and owned properties.
  • Review and/or draft and finalize contracts, master service agreements, statements of work, real estate leases, RFXs, vendor agreements, and M&A due diligence and closings. Work with the company’s customers, vendors and landlords to complete the transactional process.
  • Use and maintain all law department software solutions
