The Paralegal Assistant provides crucial administrative and organizational support to paralegals and attorneys throughout the legal dispute process, from case inception to trial resolution. This role involves managing case files, drafting legal documents, and ensuring all procedural deadlines are met.

Requirements

  • Associate’s degree in paralegal studies; bachelor’s degree or Paralegal Certification in progress.
  • At least 2 years of experience as a legal assistant, preferably in civil litigation.
  • Strong understanding of legal support procedures, document preparation, and administrative workflow.
  • Proficiency with common legal software, document management systems, and Microsoft Office.
  • Understanding of litigation procedures, legal terminology, and court rules.
  • Excellent organizational skills, with the ability to manage multiple deadlines and priorities.
  • Proficiency in MS Office (Word, Outlook), Excel, legal research databases (Westlaw/LexisNexis), and document management software (Relativity and NetDocuments).
  • Exceptional attention to detail and accuracy in legal documentation.
  • Effective communication skills, both written and verbal, for interacting with attorneys, clients, and court personnel.
  • Ability to work independently while contributing to a collaborative team environment.
  • Ability to maintain confidentiality and operate with professionalism.

Responsibilities

  • Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics
  • Organize, maintain, and update physical and electronic case files, managing discovery documents.
  • Provide comprehensive litigation support, including drafting documents, organizing case materials, and communicating with relevant parties.
  • Maintain pleadings and discovery indexes
  • Draft and proofread correspondence and legal documents
  • Assist paralegals and attorneys with trial preparation, including gathering evidence, arranging exhibits, and maintaining schedules
  • Communicate effectively with courts, clients, and other parties involved in legal proceedings
  • Assist with trial logistics, preparing trial binders and trial exhibits, and support the paralegals and attorneys during hearings and trial.
