About The Position

CHS has an exciting opportunity within our Pipelines and Terminals (P&T) division. This position may be located in either McPherson, KS, or Laurel, MT. We are looking for a P&T Administrative Assistant Lead responsible for oversight and managing the Pipelines and Terminals (P&T) Administrative Department. You will serve as the point of contact for P&T documentation collection, storage, and retention to ensure regulatory compliance.  This position will supervise 2 administrative staff employees and support the entire P&T business unit. This position is responsible for various business support functions, including ensuring contractors are compliant with various regulations and requirements, as well as serving on various Center of Excellence teams. You must be a detail-oriented, results-driven individual with a commitment to quality, accuracy, and the ability to organize and prioritize workloads to meet deadlines. Excellent communication skills, both verbal and written, with a strong commitment to customer service and the ability to work in both a team environment and on self-directed tasks are necessary.

Requirements

  • 3+ years of experience in Administrative Assistance and Support in RPT or related field
  • High School diploma or GED

Nice To Haves

  • Bachelor’s degree in business or related field
  • 3 to 5 years of supervisor experience
  • Proficient in MS Office suite
  • Proficient with telephone systems, fax machines, postage machines and copiers
  • Ability to write reports, business correspondence, and procedure materials

Responsibilities

  • Serve as the functional owner of key software systems, including ComplianceWire and the P&T SharePoint Landing Page; manage content, updates, and assignments.
  • Oversee electronic form development and implementation.
  • Manage document control processes, including storage, retention, and audit support for PHMSA compliance and other regulatory, administrative, and lease documentation.
  • Support the maintenance of required operational manuals and policies, including Operations & Maintenance, Control Room Management, Operator Qualification, Integrity Management, Public Awareness, and EH&S.
  • Manage vehicle programs across RPT, including licensing, tagging, purchasing, replacement, and the Driver Continuous Monitoring Program.
  • Supervise admin staff, including performance management, coaching, and day-to-day guidance.
  • Lead and prioritize multiple complex projects to meet deadlines.
  • Perform advanced administrative duties and generate professional correspondence.
  • Communicate effectively across all levels of the organization and collaborate with administrative partners.
  • Promote a strong safety culture by following safety regulations, identifying hazards, and addressing unsafe conditions.
  • Perform additional duties as assigned.
