The Outside Repair Coordinator at Penske Truck Leasing is responsible for managing repairs sent from Penske facilities to outside vendors. This role involves frequent communication with vendors and shops, ensuring timely transportation of units, obtaining estimates and invoices, and documenting all relevant information in internal systems. The position requires strong organizational skills and attention to detail, as well as the ability to multitask across various systems.

  • Ensure timely repair appointment scheduling and follow-up with vendors and shops, providing daily status updates at the unit level to locations.
  • Set up and coordinate unit transportation to vendors and back to Penske.
  • Build repair orders in ServiceNet accurately, reflecting jobs in process and updating parts and labor costs.
  • Review labor times, labor rates, and parts costs for all repair orders under $1,000, verifying and discussing any exceptions with vendors.
  • Escalate all repair orders greater than $1,000 to the Major Repair Specialist.
  • Upload all relevant repair images, including estimates, invoices, and communications with vendors.
  • Follow up on vehicle status and any escalations for repair approvals in a timely manner.
  • Reconcile invoices to estimate pricing and review the Repair Order in ServiceNet.
  • Provide financial support and decision-making to field operations regarding PEMS suspends and payment of outside repairs through Pcard.
  • Complete other projects as assigned.
  • 5 years of customer service experience preferred.
  • Strong verbal and written communication skills required.
  • Ability to learn general knowledge of trucks and components to interface with customers regarding maintenance issues.
  • College graduate preferred due to the systems used in daily processes (AS/400, ServiceNet, Microsoft Excel, and Microsoft Access).
  • Strong ability to multitask between different Penske systems to provide necessary information and answer customer inquiries.
  • Excellent organizational skills required.
  • Ability to work flexible hours if required depending on locations serviced.
  • Regular, predictable, full attendance is an essential function of the job.
  • Experience with AS/400, ServiceNet, Microsoft Excel, and Microsoft Access.
