About The Position

The University of Rochester is seeking a dedicated individual to coordinate activities of Outpatient Access employees in a clinic setting. This role involves acting as a resource to staff, ensuring that all functions are completed accurately and efficiently, and providing operational support to clinic leadership. The position requires monitoring staff training activities, assisting with personnel-related matters, and supporting referral coordination and prior authorizations. The successful candidate will also serve as a role model for customer service and will be responsible for handling complaints and initiating service recovery activities.

Requirements

  • High School diploma and 2 years' experience in an administrative capacity or customer service field required.
  • Medical terminology experience required.
  • Demonstrated customer relations skills preferred.

Responsibilities

  • Coordinates activities of Outpatient Access employees.
  • Acts as a resource to staff performing functions in a clinic setting.
  • Monitors and ensures that all functions are completed accurately and efficiently.
  • Coordinates all staff training activities.
  • Assists clinic leadership with operational support.
  • Serves as the front office eRecord superuser.
  • Assists with workflow design and implementation.
  • Trains and coordinates the assignment and duties of Outpatient Access employees.
  • Sets the standard for customer service, accuracy, and efficiency.
  • Identifies, implements, and monitors operational changes.
  • Updates and creates new policies and procedures.
  • Schedules training for newly hired staff.
  • Monitors staff compliance with in-services and competency achievement.
  • Serves as a point person for handling complaints.
  • Partners with the Clinic/Practice Manager to improve office culture.
  • Reviews management reports and actual schedules.
  • Works on special projects as assigned.
