About The Position

The Smile Lodge is seeking an Orthodontic Operations Assistant to join our dedicated team of professionals! Our practice is renowned for delivering exceptional orthodontic care to the community, utilizing state-of-the-art technology and innovative techniques. The ideal candidate represents the Smile Lodge as its “face” and “voice." Provides phone, administrative, and data entry support, including insurance verification. Directs patients, visitors, and callers to appropriate parties and has an in-depth knowledge of operations to support incoming requests. Requirements

  • Prior hands-on Orthodontic operations assisting experience is highly preferred
  • Willing to travel between our Clifton Park and East Greenbush locations on occasion

Responsibilities

  • Answers phone calls in an exciting and welcoming manner, leaving callers feeling valued. Utilizing scripts provided to ensure consistency throughout The Smile Lodge
  • Ensures phone calls are answered in a timely manner, eliminating the need for them to roll over to voicemail. Meeting the target of 90 calls in each 10-hour shift
  • Appropriately schedules patients for upcoming appointments following all scheduling guidelines, including insurance frequency, patient due dates, and open dental templates
  • Excellent written and verbal communication, using email templates, quick paste notes, and auto notes to document and follow through on each caller's need
  • Completes daily tasks assigned on the OA Task List for each workstation
  • Greets patients and legal guardians in an exciting and welcoming manner.
  • Verifies contact and insurance information is accurate when checking in appointments
  • Collects out-of-pocket payments and/or sets up appropriate payment plans when necessary
  • Directs patients to the proper waiting room
  • Completes necessary notes and documentation as needed
  • Accurately checks out patient Appointments, including creating a claim, reviewing future appointment needs, reviewing treatment and out-of-pocket costs, completing notes, and any documentation required
  • Consistently and accurately collects patient responsibility portions of visits when appropriate
  • “Check me’s” appointments checked out by another teammate, verifying the checkout process is complete and accurate
  • Ensure workstation is clean and stocked with appropriate supplies
  • Embodies the standards of The Smile Lodge (Is a great teammate, is great at their job, delivers a great patient experience, and shows up)
  • Projects as assigned by OATls / Director of Operations
