About The Position

The primary responsibilities of the Order Processing Associate are to ensure that all necessary selections, plans, and diagrams are compiled into the job file, material and labor demands are input correctly as to size, type, color, style, design, and amount, and work order instructions are input to facilitate the installation process. This individual must be a strong problem solver, superior communicator, and demonstrate diligence and urgency in their responses to both customers and peers.

Requirements

  • High school diploma or general education degree (GED) required.
  • Strong written and verbal communication skills.
  • Interpersonal skills to develop and maintain professional working relationships.
  • Ability to communicate effectively with customers, co-workers, and supervisors.
  • Proactively identify, analyze, address, and resolve problem areas, conflicts, and issues.
  • Exhibit sound and accurate judgment and make timely decisions.
  • Strong organizational skills to ensure adequate tracking systems are utilized.
  • Working knowledge of internet, spreadsheet, and word process software and order processing systems.

Nice To Haves

  • Associate’s or Bachelor’s Degree / 2-year Technical School preferred.
  • Minimum of two years related experience and/or training; or equivalent combination of education and experience.
  • 1 year of applicable job experience.
  • Bilingual experience (English/Spanish).
  • Thorough knowledge of all available products used by the Company as it relates to product installation.

Responsibilities

  • Gather all necessary documents (selection sheet, plans, minis, takeoffs, material spec sheets) to generate the order.
  • Compare color selection sheets to floor plans and diagrams and verify accurate quantities of raw materials have been requested.
  • Complete work order forms, compile information for crew leaders/workers, drivers, quality control, Area/Production Managers and Accounting.
  • Use intermediate math skills and spreadsheet ability to compute and determine accurate square footage, yardage, linear feet, circumference, area, etc.
  • Calculate figures and amounts such as discounts and percentages, using addition, subtraction, multiplication, and division to coordinate the ordering of appropriate materials.
  • Facilitate model home ordering with assistance from sales team, complete model home discount forms, review orders for completeness and accuracy.
  • Order shorts and type deficiency reports, maintain electronic folders, and assist customer service personnel as assigned.
  • Apply common sense understanding when conducting tasks.
  • Communicate with Production, Sales, Design Center, Estimating, Purchasing, and Field staff to clarify any questions or discrepancies.
  • Ensure that all required daily activities are completed in a timely manner with minimal supervision.
  • Process change orders expeditiously and communicate urgency to impacted internal customers.
  • Follow instructions and respond to management’s direction.
  • Take responsibility for own actions and keep commitments.
  • Commit to extended work schedules when necessary to reach goals.
  • Complete tasks on time or notify appropriate person with an alternative plan of action.
  • Attend all required meetings and trainings.
  • Adhere to all Company policies and procedures.
  • Perform all other job duties as assigned.
