We are seeking a proactive and detail-oriented Kiosk Order Entry Coordinator to join our METTLER TOLEDO team at our Coon Rapids location. This role is pivotal in managing incoming communications related to service order creation and ensuring high-quality customer service. The ideal candidate will effectively prepare service estimates and orders, manage inventory levels, and coordinate with vendors to support kiosk operations while ensuring timely processing of orders and smooth office logistics.

  • Manage incoming phone calls and emails related to service order creation, providing timely and effective responses.
  • Prepare service orders, including creating estimates and entering orders into the system.
  • Review and analyze open Service Orders (SO) and Purchase Orders (PO) reports.
  • Organize and manage logistics for kiosk shipping to ensure prompt delivery.
  • Adjust and track inventory levels for sales and kiosk operations as well as maintaining accurate records.
  • Handle UPS shipping and receiving, including managing Purchase Orders and collecting credit card information for invoicing.
  • Print pick lists and setup sheets and communicate effectively with the assembly team.
  • Answer phone calls and emails for kiosk business inquiries and assist with local lead entry for the sales team.
  • Quote and process kiosk consumable orders efficiently.
  • Distribute daily mail and manage shipping and receiving tasks.
  • Maintain office supply inventory and coordinate office logistics to support smooth operations.
  • Support the team with various administrative duties and ensure seamless office operations.
  • Perform all other duties as assigned to contribute to the team's success.
  • High school diploma or equivalent required.
  • Previous experience in order entry, customer service, or administrative support is highly desirable.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and experience with order management systems.
  • Team-oriented attitude with a willingness to assist colleagues and adapt to varying tasks.
