The position involves troubleshooting technical issues with incoming orders and answering inquiries from Kaiser Permanente Optical Departments regarding the status of eyewear, optical questions, and the availability of eyeglass frames and lenses. The role requires timely entry of eyeglass orders into lab manufacturing systems. Essential responsibilities include upholding Kaiser Permanente's policies and procedures, transmitting and ordering all eyeglasses prescriptions for the SCAL region, and processing various types of orders from Optical Labs to branches. The individual will ensure the accuracy of information received for prescriptions, review all phases of eyeglass ordering, and manage record keeping and inventory control. The position also involves preparing reports, acting as a liaison between vendors and branches, and providing excellent customer service through various communication channels. The ability to use a manual lensometer and troubleshoot eyeglasses to meet ANSI Standards is also required.

  • Uphold Kaiser Permanente's Policies and Procedures, Principles of Responsibilities, and applicable laws.
  • Transmit and order all eyeglasses prescriptions for the SCAL region.
  • Input, receive, verify, and order eyeglasses from Optical Lab to branches.
  • Process handwritten orders, OPRs, and eyeglasses made from approved external optical labs.
  • Ensure information received is accurate and appropriate for prescription.
  • Review all phases of eyeglass ordering, including technical procedures of eyeglass selection.
  • Manage record keeping, inventory control, and phone ordering.
  • Process purchase orders and make necessary calculations using Optical Lab manufacturing software.
  • Prepare activity, usage, and backorder reports.
  • Act as a liaison between vendor, Optical Lab, and branches.
  • Communicate with branches to resolve order issues.
  • Answer telephones, emails, and electronic messaging systems to provide service to branches.
  • Demonstrate accuracy in communication and data entry.
  • Use a manual lensometer, neutralize glasses, and perform final inspections.
  • Troubleshoot eyeglasses to ensure ANSI Standards are met.
  • Perform other duties as required.
  • One (1) year experience in Retail Optical or Optical laboratory setting.
  • High School Diploma or GED or equivalent basic skills in English and Math.
  • Must pass all iVE learn modules within 90 days of employment.
  • Demonstrated ability to perform all phases of eyeglass ordering.
  • Extensive eyeglass product knowledge.
  • Excellent customer service skills.
  • Exceptional organizational skills.
  • Basic Excel and Microsoft Word skills.
  • Ability to read and interpret computer-generated reports.
  • Typing speed of 40 wpm.
  • Demonstrate optical knowledge with attention to quality and accuracy.
  • Ability to maintain accurate records.
  • ABO certification preferred.
  • Optical Dispensing experience preferred.
