About The Position

Incumbents in this position will make an immediate and meaningful impact in the lives of Floridians. They perform duties that guarantee qualified health care professionals can work in the state and provide all Floridians access to the health care they need to lead healthier lives. By increasing the number of licensed health care professionals in the state, incumbents also support those currently working in health care professions who are so critical in any public health emergency. The incumbent will serve as the front desk receptionist in a high-call-volume office, acting as the first point of contact for the Boards of Acupuncture, Massage Therapy, Osteopathic Medicine, Speech-Language Pathology and Audiology, and the Council of Licensed Midwifery. This position requires frequent interaction with the public by phone, email, and in person, and the ability to manage multiple priorities in a fast-paced environment. The incumbent will work within the Board Office and provide receptionist and administrative support for the Boards of Acupuncture, Massage Therapy, Osteopathic Medicine, Speech-Language Pathology and Audiology, and the Council of Licensed Midwifery.

Requirements

  • Ability to learn Florida Statutes and Board and Department rules governing licensing and regulation of professionals and facilities, and consumer protection.
  • Knowledge and proficiency of Microsoft Office software.
  • Knowledge and proficiency in using Windows-based computers.
  • Ability to learn and utilize job-specific software such as LEIDS and AxiomPro and office equipment such as phones, fax machines, scanners, and copiers.
  • Ability to compile, organize, and analyze data.
  • Ability to provide consultative assistance to others.
  • Ability to plan, organize and coordinate work activities on a pre-approved work schedule.
  • Ability to communicate and deal with people effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Must be physically present in the office to effectively perform job duties and responsibilities.

Responsibilities

  • Serving as receptionist by answering and routing a high volume of incoming calls, providing general information, and directing inquiries to appropriate board staff.
  • Providing general licensing status information and requirements to customers via email and paper mail.
  • Managing shared inboxes and monitoring incoming electronic correspondence to ensure timely review and routing.
  • Processing, filing, and distributing incoming mail and supporting document management for the Board office.
  • Reviewing information in the Division’s Licensing and Enforcement Database (LEIDS), Customer Functional Database, and associated software/online systems and websites, as well as statutory laws rules, to provide a response to customer inquiries.
  • Maintaining current information on licensees by independently reviewing documentation submitted by licensees, then accurately making the required changes in LEIDS and any other related systems to maintain proper records.
  • Responding to licensees with written verification when a change has been completed as authorized and appropriate, while maintaining confidentiality.
  • Assisting supervisors and administrators with administrative and clerical tasks as needed to support efficient board operations.
