Requirements

  • Customer service background
  • Completing an accredited Medical Assistant or Ophthalmic Technician program (COA, COT, or MA certification) is preferred.

Nice To Haves

  • COA or COT is a plus but not required.
  • Ability to Scribe is a PLUS!
  • Knowledge of electronic medical records software is a plus.
  • Experience in healthcare is preferred but not required.
  • Previous experience in ophthalmology, optometry, or as a medical assistant or scribe is strongly preferred.

Responsibilities

  • Collect and document detailed medical and ocular histories, ensuring accuracy and completeness.
  • Perform a variety of diagnostic and vision function tests, including: Applanation tonometry, Refraction Retinoscopy.
  • Utilize diagnostic equipment such as the Humphrey Field Analyzer and Optical Coherence Tomography (OCT) to capture eye measurements and assist in patient evaluations.
  • Prepare patients for eye exams by administering dilating drops and providing clear instructions.
  • Report any changes in a patient’s visual acuity or symptoms to the ophthalmologist.
  • Educate patients on the proper use and care of eye drops, medications, and contact lenses.
  • Assist with inventory management and exam room supply maintenance.
  • Support clinical staff with additional administrative or clinical tasks as needed.
  • Make introductions and establish rapport with patients.
  • Initiate patient evaluation, documenting the chief complaint, history of present illness, review of systems, and all pertinent ocular findings accurately and in accordance with compliance guidelines.
  • Accurately and thoroughly document medical visits and procedures as they are being performed by the physician, and other procedures and treatments performed by healthcare professionals, including nurses and physician assistants.
  • Prepare referral letters as directed by the physician, via dictation or summary of the medical record; Ensure that letters are prepared to all physicians involved in a patient’s care, and with all copies of pertinent reports or tests attached.
  • Research contact information for referring physicians, coordinate referrals, prepare operative reports, make phone calls, and other clerical tasks as assigned.
  • Inform patients of the purpose of all tests personally performed and how the patient will be affected during the tests.
  • Provide necessary patient education and explanations of risks and benefits.
  • Educate patients regarding administration of medications and pre and post-operative instructions as directed by physician.
  • Follow all safety procedures as per guidelines.
  • Greeting patients professionally, both in person and on the phone
  • Quickly answering or properly referring questions and issues
  • Optimizing provider schedules and patient satisfaction with efficient scheduling
  • Notifying providers of patient arrivals
  • Comforting patients by anticipating anxieties and effectively answering questions
  • Ensuring availability of treatment information by retrieving and updating patient records
  • Verifying financial records and collecting patient charges while filing and expediting third-party claims
  • Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders
  • Provide excellent customer service
