The Ophthalmic Scribe will be responsible for accurately documenting patient encounters, medical histories, and examination findings directly into the Electronic Medical Records (EMR) system under the direction of the attending ophthalmologist. This role is crucial for ensuring efficient clinical flow and enhancing patient care by allowing the physician to focus on direct patient interaction.

  • Accompany the ophthalmologist during patient examinations and procedures, ensuring a supportive role.
  • Summarize and document the physician's verbalizations during an examination, including examination charting, chief complaint additions, assessments, and treatment recommendations with justifications.
  • Assist the physician during exams as needed, such as holding the patient's head at the slit lamp, administering medications, providing instruments, and responding to medical emergencies.
  • Stay aware of the patient's verbal and nonverbal cues when the physician gives instructions, possibly repeating information, providing written instructions, or distributing patient education materials for home review.
  • Understand the examination components necessary for accurate CPT coding, ensuring all elements are completed correctly.
  • Comprehension of Medicare and other insurance standards for quality reporting to aid the practice in meeting payer requirements.
  • Remain near the physician throughout the clinic session to avoid missing documentation opportunities.
  • Prepare eyeglasses, contact lenses, or medication prescriptions for the physician's signature before completing the examination.
  • Transcribe examination details and procedures as dictated by the physician accurately.
  • Complete the superbill or enter billing orders and the check-out form as directed by the physician, offering guidance to the patient before moving on to the next patient.
  • High school diploma or equivalent; medical or ophthalmology scribing experience is preferred.
  • At least one year of experience in an ophthalmic setting preferred.
  • Proficiency in English is required; bilingual is a plus.
  • Experience with ophthalmic diagnostic equipment such as OCT, topography, and fundus photography preferred.
  • Familiarity with minor surgical procedures and the ability to assist as needed.
  • Knowledge of medical terminology, ophthalmic terms preferred.
  • Training and understanding of HIPAA requirements and the importance of maintaining patient confidentiality.
  • Understanding of medical terminology, anatomy, and physiology used to document patient exams accurately.
  • Ability to educate patients regarding installing eye drops and other instructions related to the physician's treatment plan.
  • Familiarity with ophthalmic medical procedures, tests, and treatments.
  • Proficiency with EMR systems and strong computer skills.
  • Minimum keyboarding/typing speed of 45 wpm.
  • Ability to accurately document patient encounters in a timely manner.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to multi-task and prioritize tasks effectively in a fast-paced medical environment.
  • Strong organizational skills with attention to detail.
  • Being a team member and working collaboratively with other staff members.
