The Operations Systems Specialist is responsible for managing the complete end-to-end order lifecycle while ensuring data accuracy, system performance, and operational efficiency across backend retail portals and internal platforms. This role will take ownership of backend data exchange, product and customer portal management, freight order processing, and analytics-driven problem solving. The position supports the creation and optimization of SOPs and plays a key role in driving process improvements that reduce errors, streamline workflow, and enhance operational visibility.

  • Manage the complete end-to-end order processing workflow, proactively identifying and resolving operational issues to ensure accuracy, efficiency, and customer satisfaction
  • Own the accuracy, setup, and ongoing performance of backend retail portals, including monitoring data syncs, troubleshooting errors, and coordinating fixes.
  • Serve as the primary point of contact for backend product catalog updates, customer system data setup, and portal-related inquiries.
  • Conduct root-cause analysis on order, inventory, and logistics errors, recommending corrective actions to prevent recurrence.
  • Manage backend data exchange and maintenance across all systems that support order flow, product inventory, and customer portals.
  • Assist in product creation and maintenance across systems (BC, DB, Partner Portals).
  • Oversee customer backend data setup, ensuring accurate data exchange connections and catalog accuracy.
  • Develop and maintain Excel-based reporting tools and dashboards to track order accuracy, inventory variances, freight activity, and logistics KPIs.
  • Provide data-driven insights and recommendations to improve operational efficiency, reduce discrepancies, and optimize inventory flow.
  • Manage end-to-end processing for all freight orders, including Amazon FBA shipments.
  • Manage claims, disputes, and inquiries related to wholesale and LTL shipments.
  • Assist in ocean container logistics, including delivery allocations and confirmation of received quantities.
  • Investigate and resolve inventory discrepancies to ensure data integrity.
  • Assist with 3PL replenishment decisions, inventory counts, variance documentation, and corrective action follow-up.
  • Assist in the development, documentation, and continuous improvement of Standard Operating Procedures.
  • Lead process improvement initiatives that support efficiency, data accuracy, and cost reduction.
  • Provide reliable backup coverage for order processing functions to ensure workflow continuity.
  • Assist in warehouse operations-including receiving, loading, picking, packing, and shipping-as needed.
  • Support various department and company specialty projects.
  • Strong proficiency in Microsoft Excel, including formulas (VLOOKUP/XLOOKUP), pivot tables, conditional logic, and data validation.
  • Proficient with Google Suite, Microsoft Office, or related software.
  • Ability to analyze data, identify trends, and make data-driven recommendations.
  • Ability to manage and navigate multiple backend systems and portals with high attention to detail and data integrity.
  • Excellent organizational skills and attention to detail.

  • High school diploma or equivalent preferred
  • 2+ years of backend retail portal management experience required.
  • 2+ years of Microsoft Excel formula and data analysis experience required.
  • Valid state motor vehicle operator's license for forklift truck required
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 60 pounds without assistance several times throughout the day
  • Ability to withstand lifting, walking, pulling, and pushing for more than 2 hours at a time.
