About The Position

The Operations Support Specialist ensures that site operations at our pharmaceutical facility meet the highest standards of regulatory compliance, operational efficiency, and customer satisfaction. The role supports quality assurance, documentation control, pest management, and operational processes to maintain a safe, compliant, and well-organized environment. This role is hands-on and collaborative, requiring strong organizational skills, attention to detail, and the ability to coordinate across multiple teams and functions. The ideal candidate will contribute to continuous improvement initiatives and ensure operational excellence.

Requirements

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 2+ years of experience in an administrative, operations, or quality support role.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong documentation and record management skills.
  • Excellent communication and interpersonal skills.
  • Experience with quality systems, compliance processes, and/or regulated industries (pharma preferred).

Nice To Haves

  • Knowledge of integrated pest management (IPM) practices preferred.
  • Familiarity with quality management systems (QMS) and pest control protocols.
  • Experience in a manufacturing, logistics, or facilities environment.
  • Ability to multitask and prioritize effectively under tight deadlines.
  • Bilingual skills preferred.

Responsibilities

  • Prepare, review, and maintain quality assurance reports to meet internal and regulatory standards.
  • Manage Facilities document changes in CMMS, coordinate approvals, and implement revisions.
  • Perform periodic document updates (formatting, references, SOPs, SDS) and ensure proper record storage.
  • Assist in developing and updating SOPs and Safety Data Sheets (SDS).
  • Ensure all records are accurate, up-to-date, and stored in accordance with company policies.
  • Track KPIs and analyze trends; recommend and support process improvements to boost efficiency and satisfaction based on data.
  • Maintain process and procedure documentation; ensure teams have required tools and resources to support the same.
  • Support workflow monitoring, troubleshooting, and cross-functional improvement initiatives.
  • Coordinate and host weekly/ad hoc pest vendor visits and track reports.
  • Produce and track quarterly/annual/ad hoc pest control summaries and reports; support investigations; coordinate with vendors and internal teams
  • Maintain pest control compliance in accordance with local, state, and federal regulations.
  • Prepare documentation for audits/inspections; follow up on findings.
  • Provide administrative support, special project coordination, and seating chart updates in Tango in accordance with direction from ISS site leadership
  • Collaborate with cross-functional teams to support continuous improvement initiatives.
  • Act as an escalation point for complex site support issues while maintaining confidentiality and handling sensitive information with discretion.
