About The Position

The Operations Support Specialist at Children’s Wisconsin performs all activities related to the needs of the office and programs offered at the location. This role involves greeting and checking-in patients, clients, participants, and visitors, managing phone calls, scheduling appointments, and performing various clerical duties. Children's Wisconsin is an independent healthcare system dedicated solely to the health and well-being of children, providing child well-being services such as Foster Care, Adoption, and Family Case Management. Requirements

  • High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED).
  • One year of office or customer service-related experience.
  • Strong interpersonal and customer service skills to assist clients, patients, families, visitors, and staff.
  • Proficiency with Microsoft Office Suite including Word, Excel, and Outlook.
  • Ability to learn and work in multiple electronic business and client data systems.
  • Strong concentration skills in order to serve a variety of people in a fast-paced environment and handle incoming calls.
  • Flexibility in order to prioritize efforts to meet needs of clients, families, visitors, and staff.

Nice To Haves

  • Associate’s degree in business, computer applications, human services, or related field.

Responsibilities

  • Performs all activities related the needs of the office and programs offered at the location.
  • Greets and checks-in patients, clients, participants and visitors.
  • Manages phone calls.
  • Schedules appointments.
  • Performs other clerical duties.
  • Serve as a liaison between employees and Children's environmental and facility services and/or external environmental and facility service organizations/property managers.
  • Maintains office environment to include but not limited to: ordering supplies, maintaining MSDS data, records management, maintaining staff/office directories, and office equipment maintenance.
  • Assists with program needs such as conducting background checks; ordering, organizing, and distributing program supplies; and scheduling, supporting, and setting up program classes and events.
  • Maintains department/Purchase cards and completes monthly reconciliation and submission of receipts in Workday.
