About The Position

The Operations Support Specialist provides critical administrative and operational support to warehouse leadership and staff. This role ensures smooth daily functions by managing procurement of supplies, maintaining accurate documentation, supporting onboarding of new hires, and assisting with shipping and receiving office processes. The ideal candidate is detail‑oriented, organized, and comfortable working in both an office and warehouse environment.

Requirements

  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and warehouse management systems (WMS).

  • Ability to work effectively in a fast‑paced hybrid office/warehouse environment.
  • Basic understanding of shipping and receiving processes.
  • High school diploma or equivalent required.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and correspondence.

  • Ability to physically count, add, subtract, multiply and divide.

Nice To Haves

  • 2+ years of experience in warehouse, logistics, or administrative support.
  • Experience in procurement or vendor management.
  • Familiarity with OSHA or warehouse compliance documentation.
  • Experience supporting HR functions or onboarding.
  • Relevant work experience in logistics, warehouse operations, or administrative support preferred.

Responsibilities

  • Monitor inventory levels of warehouse supplies, office materials, safety equipment, and packaging materials.
  • Create and submit purchase orders and track them to ensure timely delivery.
  • Maintain vendor relationships and assist in sourcing new suppliers when needed.
  • Reconcile packing slips, invoices, and purchasing documentation.
  • Maintain filing systems (physical and digital) for operations documents, such as for BOLs, packing lists, receiving documents, safety records, and compliance paperwork.
  • Ensure document retention policies are followed and records are stored accurately.
  • Prepare reports, spreadsheets, and logs to support warehouse operations.
  • Support operational audits by providing requested documents and information.
  • Assist with new hire onboarding, including preparing orientation materials and scheduling training sessions.
  • Coordinate badge creation, system access, PPE distribution, and workstation setup.
  • Maintain training records and support supervisors in tracking new-hire progress.
  • Check trucks in and out, ensuring drivers receive accurate documents and instructions.
  • Verify shipping documents such as BOLs, labels, and load sheets for accuracy.
  • Communicate with warehouse leads to ensure timely loading and unloading of trucks.
  • Support inventory accuracy by assisting with receiving documentation and data entry.
  • Serve as a point of contact for carriers, drivers, and internal departments.
  • Assist supervisors and managers with daily operational tasks and special projects.
  • Contribute to continuous improvement initiatives related to workflow, documentation and efficiency.
  • Maintain a clean, organized, and safe office environment within the warehouse.
  • Assist in companywide activities associated with the department.
