The Operations Specialist provides day-to-day support across office operations and dispatch functions. This position plays a key role in ensuring smooth internal workflows, assisting with scheduling, data entry, customer coordination, and general administrative tasks. The ideal candidate is organized, flexible, and able to work effectively in a fast-paced environment.

Requirements

  • High school diploma or equivalent required.
  • 1+ years of experience in an office, customer service, dispatch, or administrative support role preferred.
  • Strong organizational and time management skills.
  • Basic proficiency with computers and standard office software (e.g., Microsoft Office, Excel, email systems).
  • Strong verbal and written communication skills.
  • Ability to multi-task and adapt to changing priorities.
  • Comfortable working independently and as part of a team.

Responsibilities

  • Assist with dispatching and scheduling of field personnel or service routes.
  • Provide administrative support including filing, data entry, document preparation, and recordkeeping.
  • Answer phones, respond to emails, and communicate effectively with customers and team members.
  • Support office operations by ordering supplies, maintaining office organization, and handling basic clerical tasks.
  • Help track job progress and ensure accurate documentation of services performed.
  • Coordinate with drivers, technicians, or service crews to support daily operations.
  • Input and update information in dispatch or scheduling software.
  • Assist with reporting, and maintaining compliance records as needed.
  • All billing for GEL locations and hauling.
  • Enter received payments from customers.
  • Process credit card payments.
  • Perform collection calls.
  • Any additional task assigned by supervisor and/or manager.
